Signs By Tomorrow is a large sign company that produces signage for construction projects. They are seeking a detail-oriented Administrative Assistant to support project management efforts across various construction projects, ensuring effective communication and organization.

Responsibilities
Keep accurarte records of the project's development and schedules using Google Sheets
Be a Communication Hub
Act as the main point of contact between the project manager, department heads and team members, and vendors and sometimes clients
Keep everyone updated on progress, changes, and next steps
Planning and Organizing
Assist the Project Manager with maintaining project plans, timelines, and schedules
Filling out proper forms necessary for each project
Ensure each team member understands their responsibilities and deadlines and keep them on track by following up with them daily and being tenacious
Break down larger project goals into smaller, trackable tasks
Facilitate communication between project stakeholders to ensure alignment on project goals and timelines
Monitor projects' progress and provide regular updates to project managers regarding milestones and deliverables
Identify risks, bottlenecks, and conflicts within the team
Help resolve minor issues before they escalate
Support resource allocation (who is doing what and when)
Maintain organized and upload required project documentation, including contracts, change orders, and correspondenc, Insurance requirements, COIs to clients

Provide reminders, encouragement, and coordination to reduce stress
Facilitate collaboration by making sure the right people are connected
Contract Billing
Become familar with each Project's billing requirements and forms
Coordinate and assist with billing tasks, coordinating with each project manager by filling out forms or uploading to 3rd party sites monthly billing of each project to the various General Contractors. Keeping track of what has been billed and what can be billed until project completion
Qualification
Required

Strong organizational skills

Ability to coordinate multiple tasks simultaneously
Experience with Google Sheets
Strong time management skills
Ability to prioritize tasks effectively
Proficient in use of Excel workbooks
Excellent math skills
Proven ability to work collaboratively within a team while managing individual responsibilities
