Responsibilities
Proactively manage and prioritize the partner's calendar, scheduling meetings, appointments, and travel arrangements
Coordinate with internal and external stakeholders to ensure the partner's schedule is optimized
Act as the primary point of contact for the partner, screening and managing emails and phone calls
Prepare agendas and materials for meetings, ensuring the partner is well-prepared
Plan and coordinate domestic and international travel, including flights, accommodations, and itineraries
Ensure travel plans are efficient and aligned with the partner's schedule
Maintain and organize confidential files, documents, and records
Assist with document preparation, including contracts, reports, and presentations
Build and maintain strong relationships with clients, partners, and key stakeholders
Coordinate client meetings and events, ensuring a high level of service
Assist with various special projects and research assignments as directed by the partner
Take the initiative to identify opportunities for process improvement and streamlining
Qualification
Required
5+ years of supporting experience within the Financial Services field preferably (Wealth Management, Brokerage, Legal, or P&C experience)
Bilingual - English & Spanish
Proactive with ability to work in a highly fast-paced environment
Bachelor's degree in related field
Excellent communication skills
