Office Administrator - Bridge Inspection

They are seeking a full-time Office Administrator to support their Bridge Inspection Team in Goshen, New York, where the selected candidate will manage project data, assist with administrative tasks, and provide logistical support for field teams.

Responsibilities

Collect and organize project and departmental data from managers, field inspectors, and other support staff
Use MS Teams to create and maintain project and departmental channels for the storage of documents
Create monthly departmental status reports by collecting relevant data from regional managers
Maintain and track staff training and certification records. Provide look-ahead tracking for inspection team members training and certification renewals
Maintain equipment inventories
Provide administrative support to management and staff, including follow-ups, communication, coordination of activities, and general office tasks
Support on-site field teams with printing, travel coordination, and project logistics
Assist with office processes including filing, archiving, data management, uploading documents to project websites, and maintaining project-specific file structures
Exercise responsible and ethical decision-making regarding company resources and adhere to WSP’s Code of Conduct, policies, and procedures
Perform additional responsibilities as required by business needs, including: Travel to state offices and to project sites in the Hudson Valley and Southern Tier regions of NY State to provide on-site administrative and logistical support
Use a company-provided vehicle for all business-related travel, including delivery of project materials and documents to field staff and other offices

Required

High School Diploma or GED
3+ years of relevant administrative experience, preferably in an office assistant role
High level of professionalism and a positive attitude when interacting with colleagues, clients, and other office personnel
Comfortable working in a fast-paced environment with interruptions and multiple tasks
Comfortable driving from two to four hours per day, typically several times per week
Physically capable of carrying and transporting boxes of documents weighing approximately ten to fifteen pounds each
Strong interpersonal, written, and verbal communication skills
Unrestricted driver's license valid in New York and ability to successfully pass WSP's motor vehicle screening
Strong organizational skills and attention to detail
Proven track record of upholding workplace safety and compliance with WSP's health, safety, drug/alcohol, and harassment policies
Ability to work schedules that accommodate project-specific requirements, which may extend beyond the typical workweek
