Office & Project Manager
Amazáe Events Inc is a boutique event production company in the heart of Silicon Valley. The Office & Project Manager Role is a multi-faceted position requiring office coordination, project management, sales and marketing responsibilities, and overall event support.
Responsibilities
Maintain a presentable, organized, and high-functioning office environment
Manage relationships with building manager and external vendors for office space management (internet, security, cleaners, etc.)
Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions
Oversees operations within the office ensuring that the office operates smoothly and efficiently, cleaned and fully stocked
Responsibilities include overseeing administrative staff members, receiving and directing visitors, handling or delegating basic office tasks
Prioritize, route and follow-up on all action items in a timely manner
Receive and direct incoming calls to appropriate personnel
Manage various vendor pick-up and drop-offs
Support needs outside of office, including fulfillment of event emergency kits, mailing packages, returning rentals, etc
Assist with the completion of client tasks and projects for events
Work with Operations and Account Manager on scheduling, logistics and implementation of Amazáe Events marketing, development and human resources
Attend the weekly team meetings, annual all-hands meeting, event and associate trainings, and other quarterly meetings as required
Work alongside team in asana to track tasks from beginning to end & set deadlines to make sure projects get done on time
Research, identify and catalogue key needed vendors. Vendor may include, but not limited to, catering, décor, lighting, sound, dessert , coffee carts, photobooths, photo, video, hair/make-up, DJ, live music, venue, and more
Manage sales funnel process from initial inquiry through booking, helping to generate new sales and foster long-term relationships
Prepare regular reports of progress and forecasts to internal and external stakeholders using key account metrics
Develop marketing material utilizing corporate branding
Update and manage marketing mailer lists
Support long-term client, venue, vendor, and partner relationships through marketing efforts
Support social media strategies with Instagram, LinkedIn, Facebook, etc by capturing key moments
Coordinate week-of event meeting with assigned team
Support production manager from event set-up, starting with load-in, timeline execution, through ending with event
Collaborate with vendors and account representative
Perform pre and post-event administrative tasks including providing analysis
Assist with a wide range of diverse client and vendor needs, tasks and issues
Assist the event designer, operations manager, coordinator or associate with various tasks to ensure the overall success of the event and exceed client expectations
Assist with event preparation; packaging, making crafts, stationery, etc
Day of event tasks support the event associate, team and vendors, performing responsibilities assigned by an event planner or an event hosting team
Maintain, prep and order emergency kit supplies
Qualification
Required
BA or BS degree preferred
Sales, Event, or Executive administrative experience preferred
Experience in event coordination and/or execution
Ability to work independently as well as collaboratively as part of team
Strong problem-solving and decision-making skills
Excellent interpersonal and customer service skills
Current knowledge of the event planning industry and event trends
Flexibility with needed tasks and event schedules
Punctual and reliable with varied event schedule
Ability to lift up to 25 lbs
