Executive Assistant/Legal Operations Partner to CEO

This role involves managing the CEO's calendar, handling contracts, and providing executive support while maintaining legal documentation and corporate records.

Responsibilities

Manage and protect the Founder/CEO’s calendar, priorities, and communications
Act as a proactive gatekeeper, anticipating needs and resolving issues before escalation
Draft and refine executive communications, meeting materials, and SOPs
Prepare executive briefs, agendas, talking points, and follow-up documentation
Coordinate meetings, travel, and logistics with precision and discretion
Own end-to-end contract workflows, including intake, review coordination, version control, execution, filing, and renewals
Maintain and deploy standard agreements (NDAs, MSAs, SOWs, vendor agreements), escalating deviations or risk areas as appropriate
Maintain organized corporate and legal records, including board consents, resolutions, and key governance documents
Build AI-assisted systems for contract tracking, renewals, reminders, templates, and documentation standards

Required

3+ years of experience supporting founders, executives, or senior leaders in executive assistant, executive operations, or legal-adjacent roles
Manage and protect the Founder/CEO's calendar, priorities, and communications
Act as a proactive gatekeeper, anticipating needs and resolving issues before escalation
Draft and refine executive communications, meeting materials, and SOPs
Prepare executive briefs, agendas, talking points, and follow-up documentation
Coordinate meetings, travel, and logistics with precision and discretion
Own end-to-end contract workflows, including intake, review coordination, version control, execution, filing, and renewals
Maintain and deploy standard agreements (NDAs, MSAs, SOWs, vendor agreements), escalating deviations or risk areas as appropriate
Maintain organized corporate and legal records, including board consents, resolutions, and key governance documents
Build AI-assisted systems for contract tracking, renewals, reminders, templates, and documentation standards
Strong written and verbal communication skills with a polished and professional demeanor
Detail-oriented with strong follow-through and accountability
Tech-savvy with experience using modern productivity, collaboration, and e-signature tools (Google Workspace, Slack, DocuSign, Asana, Notion)
Calm under pressure, resourceful, and confident operating with autonomy
Highly trustworthy with exceptional discretion and sound judgment

Preferred

Bachelor's degree preferred, or equivalent experience
Legal administrative/paralegal experience preferred
Demonstrated proficiency using AI tools for efficiency and productivity (e.g. ChatGPT, Microsoft Copilot, Claude, Gemini)
Extremely organized, proactive, and comfortable managing multiple priorities in a dynamic environment
