Responsibilities

Provide high-quality executive assistance to the Heads of BD Transactions and BD TA, including complex calendar management, travel arrangements, correspondence management, meeting scheduling and expense reconciliation
Coordinate confidential communications, meeting preparation, briefing materials and document organization for senior-level engagements and governance forums
Support operational needs across the BD Transactions and BD TA teams, including tracking team priorities, coordinating deadlines, maintaining shared calendars and managing team logistics
Assist with the planning and delivery of regular and ad-hoc team meetings, workshops, offsites, training sessions and events
Prepare, format, proofread, and organize documents, presentations, status updates, and internal communications required for BD activities
Maintain shared systems, departmental files, collaboration sites, and document repositories to ensure accessibility and version control
Assist in the coordination of BD-related governance meetings, including agenda development, scheduling, stakeholder communication and capturing action items
Support the organization of diligence sessions, negotiation meetings and cross-functional BD reviews by managing logistics and preparing materials
Serve as a point of contact for internal and external stakeholders, ensuring timely responses, professional communication and appropriate routing of requests
Support cross-functional engagement by coordinating meetings across R&D, Legal/IP, Finance, Strategy, Commercial and Regulatory partners
Handle vendor coordination, purchase orders, invoices and administrative compliance activities as needed
Support onboarding of new BD team members, including access setup, induction materials and orientation scheduling

Required

High School Diploma or equivalent vocational or technical training
3-5 years of experience in administrative, coordination or executive support roles
Demonstrated ability managing complex scheduling, international travel, and high-volume administrative workflows that cross multiple time zones and geographies
Comfort working in fast-paced, matrixed teams with multiple stakeholders
Strong organisational and time-management skills with the ability to manage competing priorities
Excellent written and verbal communication skills
High attention to detail, accuracy and quality in document preparation and administrative tasks
Ability to handle confidential information with professionalism and discretion
Proficiency with Microsoft Office Suite, collaboration tools and digital workplace systems
Strong interpersonal skills and ability to work effectively with internal and external stakeholders
Proactive, reliable and service-oriented mindset
Understanding of Business Development workflows and ability to coordinate activities related to evaluations, transactions, negotiations, cross-functional meetings or governance processes
Operate in a fast-paced, global, matrixed environment requiring coordination with stakeholders across time zones and geographies
High frequency of remote collaboration using virtual meeting tools and digital workflow systems

Preferred

Certificates, qualifications or training in business administration, office management or project coordination
Experience supporting senior leaders in a corporate, scientific, pharmaceutical or global environment
Exposure to or experience supporting Business Development, Corporate Development, Commercial or R&D teams is strongly preferred
