Accounting Specialist / Office Administrator

Rarity Solutions is a Houston-based Managed Service Provider (MSP) delivering Managed IT, Cybersecurity, Backup, and Disaster Recovery services to the Architectural, Engineering, and Construction (A/E/C) industries. The Accounting Specialist / Office Administrator is responsible for managing core accounting functions, billing operations, and office administration, including Accounts Payable and Accounts Receivable, while ensuring efficient daily office operations.

Responsibilities

Manage and execute Accounts Payable (AP) and Accounts Receivable (AR)
Perform bank reconciliations and maintain accurate, audit-ready financial records in QuickBooks
Support invoicing and collections, working directly with clients and vendors as needed
Prepare and deliver accurate financial reports for leadership
Manage billing workflows, time entry validation, and reporting within Autotask PSA
Ensure data accuracy and alignment between Autotask PSA and QuickBooks
Identify, correct, and prevent billing discrepancies while improving billing efficiency
Oversee daily office operations and vendor relationships
Provide administrative and operational support to leadership and internal teams
Manage scheduling, documentation, and compliance coordination
Own the procurement and purchase order process, including receiving goods in QuickBooks and ensuring timely customer invoicing
Identify gaps, inefficiencies, and risks in accounting and administrative workflows
Document, improve, and implement processes and internal controls
Build task systems that increase efficiency, visibility, and accountability

Qualification

Required

4+ years of experience as a bookkeeper or accounting specialist
Strong hands-on experience with QuickBooks
Solid understanding of AP/AR, bank reconciliations, and general accounting principles
Experience with purchase orders and procurement workflows
High attention to detail with strong organizational and time-management skills
Ability to manage multiple priorities independently
Proficiency with Microsoft Office (Excel, Outlook, Word)

Preferred

Experience working in a Managed Service Provider (MSP) or technology services environment
Experience with Autotask PSA
Familiarity with recurring billing or service-based accounting
