Receptionist -Maintenance Department
John Knox Village of Central Florida is seeking a Receptionist for their Maintenance Department. The role involves answering and directing calls, greeting visitors, and providing clerical support while maintaining a professional and friendly atmosphere.

Responsibilities
Open the office at 7:30 a.m - 4:00 p.m. sharp, Monday through Friday
Check voice mail throughout the day as needed and make sure voice mail is clear prior to leaving at 3:30 p.m
Create and maintain an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the facility
Greet vendors, visitors, job applicants, and other visitors as needed, operate telephone system and radio’s as required, all with proper etiquette and professionalism
Input work order information into HEMS program
Conduct Satisfaction callbacks on a daily basis from completed work orders. This requires extensive people skills with our residents
Update resident directory records as changes are made. Update pertinent resident information, such as permission to enter, animals, etc
Receive, sort, and distribute mail as directed
Keep the Office Manager/Facilities Manager informed of all problems or situations that are reported by residents or other personnel
Train to cover the Commons Receptionist position for periodic coverage, such as lunches and/or disaster coverage, such as hurricanes
Assists during disasters as needed
Cross training with dispatcher is mandatory. Will be able to handle all dispatcher duties during vacations or other times as needed
Other duties as requested by Office Manager and/or Facilities Manager
Qualification
Required
Must pass Level 2 background screening through the Florida Clearinghouse (Learn more: https://info.flclearinghouse.com)
Must be able to work in a fast paced environment and frequently change task while maintaining a professional, friendly demeanor
Sits, stands, bends, lifts and moves intermittingly during working hours
Must have as a minimum, two (2) years experience in administrative supervisory capacity
Must be computer literate in MS Word, Excel, Microsoft Outlook and experience in maintenance Management Systems preferred
Employee must be able to perform the essential functions of the job with or without reasonable accommodations. Physical requirements may include frequent use of hands to finger, handle, or feel objects, tools or control, reach with hands and arms, talk or hear. Employee may be required to lift, stand, walk, sit, climb or balance, stoop, kneel, crouch or crawl, and smell. Vision abilities may require close vision, distant vision, color vision, peripheral vision, depth perception and the ability to adjust focus
The employee must occasionally lift and / or move up to 30 pounds
For the safety and security of our residents and patients, employees must be able to read, write and verbally communicate in English, which is the most universally used language of our residents and employee population
Must maintain a professional, respectful, friendly demeanor with all residents, family members, guest and staff at all times
Preferred
Experience in maintenance Management Systems preferred
