Administrative Assistant

The University of Tennessee - Knoxville is seeking an Administrative Support Assistant to provide direct support to the Vice Chancellor for Communications and Marketing. Responsibilities

Provides direct support to the Vice Chancellor for Communications and Marketing
Supports the Assistant Director for News and Visuals and the Assistant Director of Marketing
Responsible for all office Oracle interface including invoice, purchase order and contract entry, travel and expense report entry, and procurement card monitoring and reconciliation
Provides budget tracking, reconciliation, preparation and planning
Prepares all publicity releases relating to commencement, honor roll and scholarship awards and releases them to the news media
Schedules the university photography staff
Collects payments and prepares deposits and transfers for internal payments for photography services/photographs
Orders and stocks office supplies
Tracks and documents news hits and archives news clippings and cutlines
Updates and maintains the university speakers guide
Coordinates onboarding for new office employees
Takes minutes of meetings as required for the office or committees on which the Vice Chancellor serves
Assists with proofing news releases, official publications and marketing materials
Supervises any assigned work study students

Required

High school diploma with four years of relevant experience, or a combination of education, training, and experience
Accounting experience with extensive knowledge of Microsoft Word, Outlook, and Excel
Ability to organize, prioritize, and multitask
Excellent oral, written, interpersonal, and customer service skills
Skilled in the use of office equipment, computers, multi-line phone system, printer/fax/copier/scanner, calculator
Ability to work independently as well as in a team setting without direct supervision
Must have the ability to supervise, motivate, and direct student workers
Experience in budget planning, reporting, and reconciliation

Preferred

Bachelor's degree in business, accounting, or related field
Three years of higher education experience
Familiarity with Banner and ACE student and alumni tracking systems
Knowledge and proficiency using Oracle software
