Staffing Coordinator (CMA)

Responsibilities
Maintain a current listing of all resident care employee phone numbers
Update business office with current posting of all department managers' phone numbers
Maintain daily tardy and absenteeism calendars
Report to Director of Nursing (DON) all employees with excess tardiness or absenteeism in accordance with the center policy
Work with Human Resources and DON when scheduling modified work duty employees in accordance with work restrictions and center policy
Complete in timely fashion necessary nursing department employee records upon hiring, job reclassification and discharge
Assist employees in accurate completion of forms (i.e., leave and day off requests, time cards, etc.) pertinent to scheduling and staffing
Complete monthly nursing schedule coordinating requests to ensure appropriate coverage of units
Complete and post work sheets/time schedules
Coordinate variances with DON
Assist in completions and filings of designated reports in accordance with established policies and procedures
Accepts other duties as assigned
Supervises the functions of a medical records department, including records requests, release of information, record maintenance and storage, and availability of records
Plans, organizes, schedules, and oversees the work of subordinates
Develops methods, procedures, and filing systems to accomplish work, monitors productivity and quality of subordinates’ work
Maintains regulatory requirements, including all federal, state, local regulations, and accrediting organization standards
Always maintains resident confidentiality
Attends annual review as scheduled
Actively participates in performance improvement and continuous quality improvement (CQI) activities
Maintain established medical record files; culls medical records in accordance with center and statespecific regulations
Pulls written medical record requests by established deadline
Maintains 100% accuracy of the medical record locator report to ensure it is complete and accurate and updates by end of week
Signs out medical records from the department using the medical record locator
Clears returning medical records from the medical record locator by end of shift
Files loose reports by the end of the shift
Maintains a high accuracy rate in filing of loose reports and resident records
Establishes and maintains supplies inventories
Files complete medical records in the storage area and department daily
Assists in retrieving medical records for physician completion
Is familiar with ALF and medical record documentation retention and schedules
Pulls verbal medical record requests within half hour of receipt
Answers telephone in a timely and polite manner
Participates in recording information for performance improvement activities
Demonstrates knowledge of computer system
Willing to accept additional assignments
Supports and maintains a culture of safety and quality
Qualification
Required
Valid CNA and CMA license for the state of Oklahoma is required
Candidates must maintain a working email address and phone number for employer communication
Communication, Professionalism, Ethical Practice, Relationship Management
Maintain Confidentiality
Ability to read, write and speak English
Preferred
High school Diploma or general equivalency is preferred
Prior experience scheduling, screening, and selecting job candidates in various clinical roles within a long-term care setting is preferred
Accurate typing skills with minimum of one year experience in medical records is preferred
Thorough and detail-oriented organization and management skills are highly desired
