Assistant, Executive Administrative I - Marketing
Laramie County Community College is seeking an Executive Administrative Assistant for the Vice President of Marketing & External Communications. This full-time position is responsible for providing comprehensive administrative support, managing schedules, coordinating meetings, and assisting with operational needs within the Marketing & Communications department.

Responsibilities
Provide efficient administrative assistance to the Vice President for Marketing & External Communications (VPM) by managing schedules, coordinating meetings, preparing documents, and handling communications
Provide comprehensive administrative assistance to the VPM, including but not limited to scheduling appointments, managing calendars, completing expense/purchase reports, and organizing travel arrangements
Proactively identify and address the needs of the VPM by managing priorities effectively and ensuring smooth daily operations
Provide support to the Marketing & Communications team by assisting with office-related tasks such as responding to general inquiries, processing P-card reports, and managing department logistics
Assist with phone inquiries, routing requests appropriately, and ensuring timely responses
Maintain department files, brand assets, and photo release forms, including managing requests for simple logos
Assist with requesting quotes, placing orders, and processing tax-exempt paperwork to ensure timely and accurate purchasing for departmental needs
Coordinate scheduling for large, complex projects, including multiple interviews, video shoots, and other activities that require detailed planning and collaboration
Enhance operational support by collaborating with team members to coordinate resources, streamline processes, and address departmental needs effectively
Collaborate with team members to provide operational support, assist with projects, and contribute to a positive and productive work environment
When requested attend LCCC events and provide operational support
Provide identified administrative and operational support to the LCCC Athletic Director
Processing student-athlete paperwork to ensure accuracy, compliance, and timely submission of all required materials
Assist with data collection and entry for athletic department budgets helping to improve accuracy in budget monitoring
Completing P-card reconciliation, ensuring all transactions are documented, coded accurately, and submitted within required deadlines
Scheduling meetings and reserving meeting space for the Golden Eagle Club Board Meetings
Serve as a professional representative of the VPM and college by ensuring clear and professional communication with internal and external stakeholders
Provide high quality customer service both in person and over the phone
Provide clear and professional communications via electronic means to internal and external stakeholders
Facilitate efficient meetings by scheduling, organizing agendas, preparing materials, and coordinating logistics to support productive outcomes for the Marketing & Communications Department
Assist with meeting preparations and scheduling
Attend meetings when necessary and create detailed minutes
Develop and sustain relationships with internal and external stakeholders through high-quality customer service
Qualification
Required
Associate degree from an accredited college or university in business, communications or related field of study or in lieu of educational requirements, three (3) years' experience in a professional environment as an administrative assistant
Two years of experience providing customer service or administrative assistance in a detail oriented, computerized, and/or data-oriented environment; including detailed use of common office software programs
Two years of experience with an advanced skill level using Microsoft applications, including Word, Excel, and Outlook, etc
Valid Driver's License and meet eligibility requirements to be insured under the College's insurance provider
Preferred
Bachelor's degree from an accredited college or university in business, communications or a related field of study
Two years of work experience in an academic institution as an administrative assistant to include scheduling, planning, and purchasing
