Responsibilities

Manage calendars, schedule meetings, and coordinate logistics for the Vice Chancellor and team
Track budgets, submit expenses, and oversee financial documentation
Liaise with PAE’s CFO for invoice processing and payment tracking
Maintain donor records in Salesforce/Affinaquest and assist with pipeline and campaign reporting
Draft and proofread correspondence, briefing materials, and follow-up communications
Coordinate high-level donor visits and strategic events, including itineraries, travel, and guest lists
Support event setup and staffing on- and off-campus (e.g., Acrisure Stadium)
Manage donor gift inventory and special printing needs (e.g., nametags, materials)
Collaborate with internal units (Chancellor, Provost, University Secretary) and external stakeholders
Build relationships with top donors, Trustees, and university leadership
Deliver concierge-style service to principal gift donors
Ensure accuracy and efficiency in administrative processes
Identify and propose solutions to moderately complex problems
Thrive in a fast-paced, dynamic environment

Required

Proficiency in Microsoft Office, including Word and Excel, is required
Strong organizational, interpersonal, and communication skills
Excellent attention to detail and command of English grammar and composition
Advanced computer skills with the ability to quickly learn new applications
Primarily a sedentary role with regular travel across Pitt's Oakland campus, including visits to Principal Giving and partner offices such as the Office of the Chancellor
Occasional physical effort required for event setup and staffing, both on- and off-campus (e.g., Acrisure Stadium for football suites)
Minimum Education Level Required: Associate's Degree
Minimum Years Of Experience Required: 5
Combination of education and relevant experience will be considered in lieu of education and/ or experience requirement
Demonstrate a strong working knowledge of the Affinaquest system and enter data accurately and promptly
Open to learning new apps and workflow management systems, should we go in that direction, such as Monday.com
Panther Express will be used as well
