Responsibilities

Provide administrative support to the Executive Director of Research and Evaluation and support the Research Department
Schedule and coordinate all meetings, receptions, and/or events; ensure all documentation is accurately prepared and readily available for review in advance of meetings; ensure all participants are informed in advance of meeting content, time and location
Responsible for coordinating and managing grant-related advisory boards
Receive and screen telephone calls for the Executive Director to include scheduling calls and meetings; provide information and assistance to all callers and/or visitors and determine appropriate course of action, referral or response
Oversee daily office operations to include correspondence and scheduling of the Executive Director's calendar. Prioritize inquiries and requests while troubleshooting conflicts with little guidance; make judgments and recommendations to ensure smooth day-to-day engagements. Keep the Executive Director informed of key activities or issues that may arise
Assist with agenda preparation, meeting follow-up, preparing materials for all meetings, making arrangements for audiovisual needs and taking minutes at meetings
Receive/screen/make telephone calls, maintaining high levels of customer service and professionalism and record messages for the department appropriately
Perform high level administrative support duties, including preparation of presentations, communications, documents and spreadsheets, complete diverse and complex assignments with limited direction; plan and implement projects within the Hospital; prepare materials in final form working from a general outline
Coordinate detailed travel arrangements for the Executive Director; prepare itineraries and agendas and ensure the Executive Director is informed of all travel-related details including, but not limited to, plans, agendas, meeting participants, meeting contents, time and location
Perform general office duties, such as typing, flow of correspondence, requisition of supplies, maintaining office equipment and environment, faxing, maintaining training and competency packets, ensuring the availability of appropriate forms/paperwork, processing all mail, etc
Assist in resolving administrative issues by preparing reports, analyzing data, and identifying solutions
Assist with designing and preparing information such as general correspondence, memos, charts, tables, graphs, grant applications, publications, presentations, business plans, etc. Proofread copy for spelling, grammar and layout, making appropriate changes

Required

A Bachelor's degree in a relevant field from an accredited college or university or equivalent combination of experience and education is required
Minimum 5 years of experience as an administrative assistant with increasing responsibility for the operations related to an office
Excellent organizational skills
Outstanding written and oral communication skills
The ability to work independently but also collaboratively as a member of a team
Ability to organize, prioritize and meet deadlines, while effectively managing multiple projects simultaneously
Good problem-solving skills, detail-oriented and excellent follow-through
The ability to relate to people of all ages and with diverse backgrounds, skills and abilities
Ability to present self in a personable and professional manner and represent the Executive Director and Research department at research-related events
Must be able to successfully and effectively communicate with a variety of personnel
Ability to deal with diverse and confidential information with discretion and good judgment
Must have strong computer skills and be proficient in all Microsoft Office products
