Recruiting Administrative Coordinator - ASAP
Vaco by Highspring is seeking a Recruiting Administrative Coordinator who excels in organizing and enhancing the candidate experience. The role involves coordinating interviews, managing job postings, and supporting the People team throughout the recruiting process.
Responsibilities
Be the friendly face (and inbox) candidates interact with throughout the hiring process-answering questions, sharing updates, and keeping things moving
Heavy coordinating and scheduling interviews across multiple calendars without breaking a sweat
Manage job postings across platforms and make sure everything is accurate, polished, and up to date
Support candidate sourcing and resume review when needed
Keep our ATS organized and current by tracking candidate progress and maintaining clean data
Draft and send candidate communications-interview confirmations, logistics, follow-ups, and offers
Partner with the People team on background checks, offer letters, and onboarding coordination
Help plan and support recruiting events like career fairs, networking events, or campus outreach
Pitch in on projects that elevate our employer brand and overall candidate experience
Qualification
Required
1-3 years of experience in recruiting coordination, HR, or administrative support (internships totally count)
Strong organizational skills and the ability to juggle multiple priorities like a pro
Clear, friendly communication skills and a true customer-service mindset
Comfort using Microsoft Office; experience with an ATS or HRIS is a big plus
A professional, personable approach and the ability to build relationships with candidates and hiring managers
A detail-oriented, proactive attitude-and a genuine passion for creating a great candidate experience
