Admin Specialist I - Western Region
N.C. Department of Information Technology is part of the Department of Public Safety, which aims to safeguard the lives and property of the people of North Carolina. The Admin Specialist I will coordinate administrative and program support functions for the Area Office, ensuring efficient operations and serving as a liaison between the Area Administrator and staff.

Responsibilities
Assist the Area Administrator with communication to district offices via in-person, phone, and email
Prepare, edit, and format documents, forms, and reports using various computer applications
Track and manage district needs and requests through spreadsheets and documentation
Attend Area Court Services Management Team meetings; assist with preparation and record assignments
Provide clerical support to districts and other Area Administrators during vacancies
Serve as a liaison between area staff and Central Office on matters such as travel reimbursements, training, equipment issues, incident reports, and inventory
Organize and lead periodic meetings with Office Assistants across the Area
Act as purchasing agent for the Area Office and court districts using the state’s eProcurement system
Review and recommend purchase requests, ensuring budget compliance
Audit and process invoices, including direct pay forms and vendor coordination
Compile and submit holiday on-call spreadsheets
Act as the Area’s Workers’ Compensation Administrator
Maintain OSHA logs and ensure district compliance with safety policies
Serve as the Area’s Time Administrator, resolving time entry issues and approving time during supervisor vacancies
Managing Motor Fleet logs and paperwork for districts in the Central Region
Qualification
Required
High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience
All work history and education (including accurate dates of employment/attendance) must be documented on the application

Degrees and transcripts must be received from appropriately accredited college or university
Applicants who earned college credit hours but did not complete a degree program, must attach an unofficial transcript to receive credit for education
International degrees and transcripts must be evaluated for accreditation by a recognized evaluation service by the closing date of this posting
Applicants seeking Veteran's Preference must attach a DD-214 Form (Certificate of Release or Discharge from Active Duty that includes Character of Discharge - Member 4 or Service 2 form) to the application
A current member of the North Carolina National Guard in good standing must attach a NGB 23A (RPAS)
A former member of the North Carolina National Guard who served for at least 6 years and were discharged under honorable conditions, must attach either a DD256 or NGB 22
Preferred
Experience with entering data into a database
Experience with paying bills for a large organization
Demonstrated experience communicating with staff at all levels to provide expectations that align with agency core values
Demonstrated experience maintaining spreadsheets within Excel to track data
