Sales & Operations Coordinator
Bluestone Life Inc. is a company that leverages life insurance to protect families and communities while driving positive social and environmental outcomes. They are seeking a highly organized Sales & Operations Coordinator to bridge executive leadership with day-to-day operations, providing strategic sales support and operational coordination.
Responsibilities
Participate in sales calls and client meetings, providing real‑time technical and operational support, managing meeting notes, and coordinating follow‑up action items to ensure a seamless client experience
Coordinate and process life insurance applications end‑to‑end; preparing required forms, illustrations, and compliance materials; ensuring accurate submission to underwriting; and coordinating status tracking as liaison between sales, underwriting, and clients throughout policy issuance
Maintain CRM data integrity, including client records, sales activity tracking, pipeline reporting, and all sales‑related documentation in compliance with state regulations and company standards
Support agents and distribution partners with product inquiries, contracting issues, technical troubleshooting, and compliance‑related paperwork
Research and synthesize information on industry trends, competitive landscape, and potential partnerships
Maintain organized operational systems for policy documentation, underwriting workflows, agent management, and recurring SOPs to ensure accuracy, consistency, and scalability
Coordinate multi-state insurance licensing, regulatory compliance and industry reporting requirements including LOMA, NAIC, and other applicable standards
Support financial operations coordination including premium tracking and nonprofit donations and collaboration
Support B Corp and 1% for the Planet recertification processes and other impact measurement initiatives
Coordinate and prepare materials for internal and external meetings, partnership discussions, strategic planning sessions, and provide high‑level administrative support to the President and CEO
Qualification
Required
Passionate about using insurance to drive positive social and environmental impact as a 'Practical Activist'
Self-motivated, independent, and able to anticipate needs without being asked
Strong ability to manage multiple priorities with accuracy and urgency
Life & health insurance license; a minimum of 3 years in life insurance sales and operations
Familiarity with insurance licensing, regulatory processes, and industry standards
Proficient in MS Office 365 and CRM platforms (HubSpot or similar)
Exceptional written and verbal skills; able to build relationships across diverse stakeholders
Demonstrated discretion in handling sensitive information
Certification or training preferred; ability to create scalable systems and SOPs
Comfortable in dynamic environments; skilled at creating order from complexity
