Operations Coordinator

The American Association of Naturopathic Physicians is looking for a passionate full-time Operations Coordinator. This role has primary responsibility for providing operations support across all of the AANP’s program areas, including executive, communications/social media, membership, continuing education, events, and advocacy.

Responsibilities

Create, develop, implement and coordinate social media activities, content and calendars on all AANP social media channels
Support the development of effective interaction and communication with the AANP membership, prospective members, students, corporate partners, exhibitors, and the general public
Coordinate timely and accurate scheduling of weekly social media posts across all of the AANP channels
Create graphics for social media posts in Canva and other programs as needed
Ensure consistent utilization and application of AANP Brand all posts with AANP hashtags
Assist with routing Contact Us forms to the appropriate staff or responding as needed
Participate actively in daily social media monitoring and listening
Assist in developing and implementing social media strategies, particularly focused on increasing visibility, enhancing audience engagement, and amplifying organizational messaging
Monitor social media analytics to assess performance and identify trends, and prepare clear, concise monthly reports for staff and board leadership
Coordinate and create email blast campaigns using subscriber lists, databases, and memberships
Create and edit communications copy (e.g. email blasts, member and non-member publications/newsletters)
Maintain email templates, lists, and scheduling of email blasts
Manage Weekly Digest compilation and scheduling
Assist with website edits, updates, and minor webpage builds
Routine website maintenance, including job boards
Support the Executive Director with day to day tasks that could include administrative, advocacy, networking, analytics, editing, event management, and more
Support check register maintenance and basic bookkeeping tasks (e.g., sorting receipts, collecting invoices and receipts from various AANP accounts and filing appropriately in records retention system.)
Assist with travel and board meeting arrangements
Assist with scheduling meetings
Support governance activities (e.g., meeting minutes, follow-up communications, preparing materials)
Manage Google Groups and volunteer rosters
Assist with maintaining and updating member records in the CRM
Help verify and correct member contact information
Support matching member records with new licensee lists
Aid in resolving undeliverable emails
Assist with new member welcome calls
Assist with lapsed member outreach
Assist with follow up on expired credit cards
Assist with the creation, distribution and screening of action alerts
Assist with event coordination and scheduling for DC FLI lobby day
Assist with creation and design of fact sheets, materials, handouts, and presentations
Assist in the preparation of event materials such as participant name badges, information packets, exhibitor materials, event attendee communication, event evaluation surveys, etc
Ensure rooms are set up appropriately with layout and A/V
Contribute to pre- and post-event attendee communication, including conducting event/meeting evaluations and updating the event app during the Convention
Assist members and exhibitors with registration and payment processing
Provide upbeat and high-quality customer service to conference attendees and exhibitors throughout the registration process and on-site
Manage online CE store of AANP’s recorded CE content
Maintain and enhance speaker databases for convention & continuing education events
Set up webinars/registrations in YM, post webinars to past webinars/online store
Assist with review and processing of applications from external organizations seeking CE approval for learning activities
Maintain an accurate and regularly updated database of regulatory requirements for continuing education of all naturopathic regulatory boards
Review processes, application forms, guidelines and policies to improve efficiencies and reflect medical professional best practices
Issue continuing education certificates for all successful CE applicants and maintain accurate records of all CE applicants and recipients
As with all positions on a small team, contributes to team projects and office coverage and other duties as determined necessary by the Executive Director

Required

College degree preferred or equivalent professional experience in organization, event planning, and social media
Proficiency with working with technology, primarily websites and databases. Some HTML experience or willingness to learn. People who are not comfortable with technology should not apply
Excellent attention to detail
Familiarity with AMS or LMS systems in general. Proficiency with YourMembership is a plus
Exceptional interpersonal skills with experience creating positive and productive relationships with members, volunteers, board members, and fellow staff
Excellent verbal, written and presentation skills with ability to present information clearly, succinctly, and persuasively
Confident with Microsoft Office, Google Suite, Canva, AI prompts. Familiarity with Higher Logic is a plus
Superior organizational skills with the ability to prioritize and successfully accomplish multiple projects simultaneously
Demonstrated ability to respond calmly and effectively in challenging situations
Ability to work independently with a high level of initiative, self-motivation, commitment to getting the job done, and familiarity with fulfilling project-based performance objectives
Eagerness to learn and contribute to operational functions across multiple departments
