Client Care and Billing Specialist

They are seeking an experienced Mental Health Client Care and Billing Specialist to join their revenue cycle team, responsible for managing client interactions, submitting insurance claims, and ensuring compliance with billing practices.

Responsibilities

Be the first point of contact—answer calls, manage emails, and greet clients with warmth and professionalism
Schedule client appointments and coordinate care to ensure seamless support
Maintain compliance with charts, insurance billing, and office documentation
Work collaboratively with our team
Submit insurance claims (primary and secondary) accurately and in a timely manner
Review and resolve rejected/denied claims
Manage aging reports and follow up on unpaid claims or denied claims and work with insurance companies to resolve discrepancies
Monitor claim status and ensure timely reimbursement in accordance with payer timelines
Handle patient billing inquiries and provide clear and compassionate explanations regarding account balances
Assist with audits, reporting, and month-end reconciliation as needed
Make calls to collect patient co-pays/co-insurance
Verify patient insurance information and eligibility
Post insurance and patient payments
Send patient statements and respond to billing inquiries
Maintain HIPAA compliance and confidentiality
Collaborate with clinical and admin teams on documentation and coding best practices
Perform other duties as assigned by Clinic Director

Required

Bachelor's degree required (Healthcare Administration, Business, or related field preferred)
2+ years of medical billing experience, preferably in mental or behavioral health with Strong knowledge of CPT, ICD-10, and EHR/PM systems (Valant preferably)
Proven proficiency with both private insurance and Medicare billing, including eligibility verification, authorizations, claims submission, and appeals
Familiarity with BCBS, IBX, Aetna, United, Cigna, Optum, Medicare and other major Pennsylvania payers
Hands-on experience contributing to the full revenue cycle — from patient intake and coding through payment posting, denial management, and reporting
Comfortable working with billing software, clearinghouses, and electronic health record (EHR) systems; ability to adapt to new technologies and AI-driven solutions
Strong communication skills—able to work independently and as part of a team
Ability to manage multiple tasks in a fast-paced healthcare environment

Preferred

Experience with multi-location practices or credentialing support
Valant EHR: 1 year (Preferred)
