Executive Assistant
Urban Legend is a fast-paced technology startup focused on making advocacy and brand marketing more accountable. The Executive Assistant will support the CEO and COO, managing complex calendars, organizing travel logistics, and facilitating communication between executives and stakeholders.

Responsibilities
Provide high-level administrative support to Senior Leadership and assist the broader leadership team as needed
Manage complex calendars, including scheduling across multiple time zones, coordinating with internal teams, creators, and clients
Draft, edit, and proofread professional communications, presentations, and briefing materials with attention to detail and alignment with our mission
Organize and coordinate travel and event logistics for executives, clients, and campaign initiatives
Serve as a key point of contact between executives, internal teams, and external stakeholders — maintaining professionalism and discretion
Support the preparation of client and campaign reports, decks, and talking points, often under tight deadlines
Assist with planning and execution of internal and external meetings, workshops, and events that may include creators, advocacy groups, and policymakers
Process expense reports and manage budgets for the executive office
Anticipate needs, solve problems, and identify ways to improve administrative processes and team efficiency
Qualification
Required
2–4 years of experience as an Executive Assistant or in a similar administrative/support role, ideally in a creative agency, policy, advocacy, or media environment
Excellent organizational and time-management skills; ability to manage competing priorities in a fast-moving environment
Outstanding written and verbal communication skills; comfortable crafting professional correspondence and client-facing materials
High level of discretion, especially when working with sensitive or confidential information
Strong proficiency in Microsoft Office Suite and/or Google Workspace; experience with tools like Slack, Monday, and project management platforms
Adaptability, resourcefulness, and a solutions-oriented mindset
Passion for the intersection of digital culture, social impact, and policy
Preferred
Prior experience supporting leadership in an agency, advocacy organization, or policy-focused company
Familiarity with influencer marketing, advocacy campaigns, or the legislative/policy landscape
