Executive Assistant

Responsibilities

Manage the CEO’s and COO’s calendars and coordinate high volume scheduling with internal and external stakeholders
Compile and deliver all necessary materials (agendas, briefs, bios) at least 24 hours prior to every meeting
Monitor and filter email, flagging urgent items and drafting responses as needed
Coordinate domestic and international travel
Compile receipts and prepare expense reports in a timely manner
Develop relationships and work collaboratively across the organization
Provide operations assistance - manage access requests, time-off tracking, note taking, and other administrative processes
Manage office logistics, coordinate with building management and vendors, provide support for critical in-person meetings (i.e., client meetings, board meetings, company-wide events) and provide Boston office management support as needed

Required

4+ years of experience supporting C-Suite or high-level executives
Skilled in Google Workspace and AI tools related to productivity
Proven ability to handle confidential and sensitive information with integrity
Exceptional verbal/written communication and a 'no task is too small' attitude
Strong ability to juggle multiple projects simultaneously without losing sight of the details
Anticipates needs, identifies solutions and takes initiative without waiting for direction
Collaborative approach - skilled at building relationships and an ability to work across a variety of work styles, roles and levels
Flexible and responsive, with a willingness to monitor and manage communications after business hours and on weekends as needed
