Administrative Assistant
The QTI Group has partnered with a biotechnology company in search of a temporary Administrative Assistant to support their Windsor, WI location. The Administrative Assistant is primarily responsible for front desk responsibilities, organizing files, preparing reports and documents, managing calendars, and travel arrangements.

Responsibilities
Answer multi- telephone system in a professional, courteous, and timely manner; and monitors the security gate
Support Human Resources with a wide variety of administrative functions and assists other departments with miscellaneous projects and tasks as necessary
Sort incoming mail and handle outgoing mail using the postage and folding machines
Coordinate regular maintenance of office printer and other mailroom equipment to ensure optimal machine performance, which includes proper postage levels
Greet employees and visitors and directs them appropriately utilizing a high level of customer service and security
Administer the employee, contractor, and visitor badge software and equipment; and handle guest wi-fi access
Assist with catering, travel accommodations, internal and external meetings, and corporate events
Coordinate and maintain employee photographs; update the internal phone directory as needed
Create and maintain weekly PowerPoint presentations for company and employee announcements
Order and maintain the company logo apparel and supplies
Prepare and submit invoices and expense reports; assist accounting as needed
Assist with employee probiotics program and shipments
Submit and coordinates Tabware maintenance requests
Fulfill bereavement and celebration requests
Order the weekly fruit and snacks for company fruit bar; maintains inventory of coffee and coffee supplies
Qualification
Required
High School Diploma or equivalent is required
1+ years of experience in an administrative assistant/office-based position is required
Ability to read, write and speak English
Ability to effectively communicate with internal and external customers
Organizational skills are required
Must have the ability to multi-task
Ability to lift up to 25 pounds is required
Willingness to complete a background check and drug screen
Preferred
Knowledge of how to work mailroom equipment and a multi-line phone system is preferred
Possess a working knowledge of Microsoft Office (Word, Excel, and PowerPoint) programs
