Administrative Coordinator
Tom Thumb is a retail company seeking an Administrative Coordinator to ensure strong customer service and maintain accurate records of store sales. The role involves cash handling, human resources functions, and supporting various administrative tasks within the store.

Responsibilities
Maintains an atmosphere of enthusiastic customer awareness with an emphasis on fast, friendly service
Answers and responds to incoming calls
Supports the Customer Service Center by covering breaks and lunch periods when needed
Completes all phases of the reconciliation process; performs bookkeeping duties including preparing and proofing daily deposit slips and balancing accounts receivable
Monitors cashier accountability; researches and reports problems or shortages to the Service Operations Manager and Store Director
Partners with Division Loss Prevention and front-end management to resolve cash and shrink issues
Maintains sales book and reports daily/weekly sales information to the Store Support Center
Reports schedule violations to the Store Director and appropriate department managers promptly
Reviews internal and external applications, conducts screening interviews, and coordinates department manager interviews
Administers the Job Posting Program; manages pre-employment drug testing and tax credit processes
Completes the new hire process, coordinates training, and conducts orientation and other training programs
Coordinates and maintains all aspects of the hiring process:
Computer-assisted application and hiring process
Participation in in-store and external recruiting activities
Maintenance of recruiting materials, applications, and policy sign-off forms
Retention of interview and hiring records
Orders and assigns uniforms, name badges, and office supplies
Handles incoming/outgoing mail, manages the Administrative Coordinator email account, and maintains office files
Updates breakroom HR communication boards and legal compliance posters
Serves as liaison between Human Resources, Payroll, and Benefits Departments:
Handles payroll and benefits administration issues
Works with Store Director and HR representatives on personnel matters
Submits and processes payroll on time; maintains Time and Attendance Reports, Correction Forms, schedules, and personnel records per company guidelines
Coordinates, inputs, and tracks leave/return-from-leave paperwork; processes reinstatements, terminations, and personnel status changes
Maintains and secures employee HR records; keeps medical files separate from personnel files
Ensures compliance with records retention policies
Ensures minor employees are scheduled and working in compliance with state laws
Ensures compliance with HIPAA and confidentiality requirements
Coordinates employee recognition programs
Ensures cleanliness and professional appearance of the office area
Performs other necessary and required duties

Thorough knowledge of cash balancing, cash handling, company policies, benefits, scheduling tools, payroll procedures, hiring, training, and new employee orientation
Strong organizational and problem-solving skills
Knowledge of basic math and computer skills
Operates calculator, telephone, computer software, and electronic ordering equipment
Strong written and verbal communication skills; demonstrates leadership and alignment with Company Core Values
Must be friendly, courteous, and maintain a professional demeanor with customers, co-workers, and vendors
