Judiciary Secretary 1 - Confidential (Probation)

The Judiciary Secretary 1 will provide administrative support to the Probation Division Manager, coordinating various activities and maintaining records for the division.

Responsibilities
Coordinate arrangements for speaking engagements, seminars, travel arrangements or other group activities on the Division Manager's master calendar
Assist in the orientation of new staff, including coordinating appropriate training as advised by Division and Assistant Division Manager
Reviewing content of correspondence, memos or reports for completeness, clarity or accuracy including drafting meeting minutes, reviewing legal documents, and updating records and/or case related information as needed
Obtain pertinent materials from files of the Division and other sources and arrange into usable form for executive officer
Maintain record keeping and/or tracking systems updated
Recommend purchase of equipment, materials or supplies for the Division as needed
Reconcile all purchase requisitions
Maintain records for Probation Division staff such as performance advisories and career progressions for submission to Human Resources
Answer application of internal regulations or procedures
Submit work orders as needed
Maintain daily attendance and training compliance for the Probation Division, including judges' chambers
Create special projects as assigned
Communicate policies and rules to staff as the Division Manager's direct support person
Qualification
Required
One year of experience performing a variety of clerical and support services to include typing, secretarial and administrative clerical work
Ability to use a keyboard, no minimum speed
Driver's License: Appointees will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle is necessary to perform essential duties of the position
Authorization to Work: US citizenship is not required. Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations

Residency Law: In accordance with N.J.S.A. 52:14-7 (L. 2011, Chapter 70), the 'New Jersey First Act,' all persons newly hired by the Judiciary within one year must establish, and then maintain, principal residence in the State of New Jersey
Preferred
Successful completion of a clerical training program with a minimum of 700 classroom training hours or 30 semester hour credits in secretarial science may be substituted for one year of the experience indicated above. Course work must include typing skills, methods and procedures
Certification of successful completion of the Civil Service Commission, Human Resource Development Institute (HRDI) Support Specialist Program may be substituted for six months of the required experience
Proficiency in Word, Access and Excel is strongly preferred
