Development Operations Manager

KIPP Public Schools Northern California is a nonprofit network of charter schools dedicated to providing quality education to students. Responsibilities

Ensure best practice use of analytics, data, and metrics to forecast and track progress and success of fundraising goals, strategies, and tactics
Independently tracks millions of dollars monthly and processes, thanks, and archives all donors
Leads the partnership with Accounting to ensure we get a clean audit
Lead the maintenance of the CRM (Salesforce) and Click & Pledge (donation) platform
Produces high-quality Salesforce reports to increase the confidence of team leadership in key fundraising metrics for multi-million dollar annual fundraising
Increase efficiency in development operations, including database management, gift processing, and reporting for accounting and finance
Lead monthly reconciliations with the Accounting team
Support Associate Director of Development on grant budgets, reporting, and data requests, as needed
Progress monitor engagement and solicitations with institutional donors and update activities in Salesforce; liaise with accounting & finance on grant budgets
Works closely with the Finance team to ensure we are aligned with Fundraising totals
Create pledge/commitment forms for all new pledges and send payment reminders
Process all gift donations and acknowledge donations in a timely manner
Keep the internal moves management tracker up to date with closed gifts so the team knows how much has been raised at any point
Keep accurate records of all grant agreements and documentation specific to a donation
Assist donors with making donations, as well as answering questions
Keep Board Members informed of contact donations
Consistently drives improvement in designing, creating, progress monitoring, and maintaining team systems, including managing the team Drive, archiving important communications, Salesforce reporting, etc
Owns and ensures the accuracy of the Impact Report donor lists
Pulls and cleans all invite lists, appeal lists, and ensures the accuracy of donor information
Pull and update Board member contact reports
Contributes to cross-functional projects to advance organizational objectives
Continuously improve the Salesforce platform to drive the portfolio model, including the creation of dashboards that track metrics overall and by portfolio owner and progress monitor weekly reports (e.g. # of solicitations, # of proposals, # of donors in each donor stage, etc.)
Attends and supports all development-related events
Plans and leads school tours with prospective donors and actively engages with attendees
Prepare materials for DoD as needed
Work with team members on coordinated donor efforts (ex, fall appeal, newsletters) or multi-stream strategies
Brainstorm ideas and tactics for deeper donor/funder engagement and more efficient progress toward goals
Consistently and effectively analyze progress to annual and long-term goals
Manage Concur receipt reports and invoices
Manage the Development budget with the support of the Director
Works to promote or actively seeks opportunities to support diverse backgrounds and perspectives to ensure they are respected and valued
Models cultural competence in communication, management, and leadership style

Required

At least 3 years of work experience is strongly preferred
Previous experience in development, individual giving, and data tracking is preferred
Prior experience using Salesforce is strongly preferred
Experience working with financial reporting and reconciliation processes
Experience building warm, positive relationships across teams and with external stakeholders
Experience with presenting complex information to various stakeholders

Contingency planning is a core part of your planning process
You are extremely organized and exceptional at managing many details at once and multiple deadlines
You create detailed calendars with proposal timelines, stewardship activities, and close dates
You help facilitate and track moves management for donors and use it to triage and make strategic decisions alongside the team
You have a strong commitment to public education, equity, and social justice
