The University of California, Berkeley is dedicated to fostering a community of inclusion and excellence. They are seeking a Program Coordinator to manage administrative support, coordinate academic processes, and oversee event logistics for the Interdisciplinary Social Science Programs.
Responsibilities
Manage front-desk coverage and serving as the primary point of contact for students, campus community members, and visitors
Respond to in-person, phone, and email inquiries and guide individuals to the appropriate offices, resources, or contacts
Manage office logistics including mail processing, call management, and general administrative support functions
Maintain electronic and paper filing systems to ensure accuracy, organization, and timely access to departmental records
Make travel arrangements as needed for department personnel
Manage office supply inventory, determine supply needs, and coordinate ordering
In conjunction with the ASE Lead, manage academic year and summer ASE hiring processes, including:
Advertising ASE positions
Collecting and organizing applicant information
Preparing ASE offer letters
Generating position numbers and adding funding in UCPath
Entering and maintaining ASE hiring data in regional Smartsheets
In coordination with the Department Scheduler and Academic Personnel Analyst, support course evaluation organization and tracking
Assist with input and data preparation related to faculty merit cases, ensuring accurate and timely information sharing
Maintain and update student, instructional, and academic support data as required for departmental operations
Process One-Time Payments (OTPs) under the supervision of the Director
Process travel, entertainment, and supply reimbursements
Serve as a Preparer in Berkeley Financial Services (BRS) and BearBuy, identifying and initiating adjustments as required
Manage purchasing for office supplies and equipment, including determining needs and placing orders
Process departmental gifts and grants for submission to University Relations or Sponsored Projects
May participate in contract negotiations and the preparation of Requests for Proposals (RFPs) requiring subject-matter knowledge
Apply moderately complex spreadsheet functions, including formulas and pivot tables
Compile and maintain spreadsheets using subject-matter knowledge to ensure consistency and accuracy of data; may analyze trends
Coordinate large, complex conferences, meetings, and programs, including commencement, faculty meetings, guest lectures, student meetings, academic planning sessions, and related departmental events
Manage room reservations and department calendars in coordination with the department scheduler
Organize meeting documentation, including agendas, briefing notes, handouts, and attendee information
Manage budgets related to events and meetings; holder of BluCard and responsible for reconciliation of card expenses
Coordinate catering, space reservations, and audiovisual services for events and meetings
Provide project coordination support to the Director of Administration
Organize and schedule office moves and departmental renovations
Submit and track office space renovation and facilities service requests
Serve as liaison with Facilities Services and Moving Services for departmental space and facilities needs
Qualification
Required
Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications
Requires good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills
Requires interpersonal and work leadership skills to provide guidance to other nonexempt personnel
Demonstrated ability to work effectively and collaborate with individuals and groups from a wide range of backgrounds, experiences, and perspectives
Intermediate level of understanding of and/or can quickly learn university and campus policies and procedures regarding student affairs, financial, and purchasing transactions
High school diploma and/or equivalent experience/training
