Responsibilities
Plan and coordinate fundraising events, awareness events, and community outreach activities
Develop event timelines, run-of-show schedules, and production plans
Secure venues, permits, vendors, catering, entertainment, and equipment
Oversee event setup, execution, and breakdown
Create and manage event budgets
Track expenses and revenue, ensuring cost-effective execution
Process invoices, contracts, and expense reports
Support donor cultivation and stewardship through events
Assist with sponsorship outreach, fulfillment, and recognition
Coordinate ticket sales, registrations, auctions, and donations
Recruit, train, and manage event volunteers
Coordinate assignments and on-site responsibilities
Serve as point of contact for vendors, volunteers, and partners
Support event promotion (email, social media, website)
Assist with event collateral, signage, and post-event communications
Ensure consistent branding and messaging
Conduct post-event evaluations and debriefs
Track attendance, fundraising totals, and engagement metrics
Prepare summary reports and recommendations for future events
As a small non-profit, we all wear many hats. Additional duties may be required supporting the President, Executive Director and Board of Directors
Qualification
Required
Bachelor's degree or equivalent experience in event management, nonprofit administration, communications, or related field
2+ years of event planning experience (nonprofit preferred)
Strong organizational and project management skills
Excellent written and verbal communication skills
Ability to manage multiple projects under tight deadlines
Preferred
Experience with fundraising events and donor relations
Familiarity with event management software
Experience managing volunteers
Knowledge of nonprofit compliance and permitting
