Responsibilities

Responsible for planning, directing, and maintaining operational programs, in which coordination and administrative support are the most important aspects of the work
Work involves assisting in overall administration and management
Advises the general public, County employees, and employees from other governmental agencies and/or organizations on Departmental policies and procedures; resolves difficult customer relation problems that cannot be handled by supporting clerical staff
Attends meetings, distributes agendas, takes and/or transcribes minutes, and composes and distributes reports of proceedings
Responsible for copying and mailing correspondence, purchasing, referring and responding to inquiries, and arranging staff training
Greets visitors to the office; screens and refers callers; arranges appointments and coordinates meetings
Assists with travel requests
Maintains a variety of office files and records, compiles data, completes legal forms, coordinates public records requests, and types reports and letters
Maintains operational procedures and schedules; performs data entry and graphic work
Prepares Receive and File Agenda items; serves as the back-up Agenda Coordinator
Provides administrative and clerical support for the Department

Required

Graduation from high school or an equivalent recognized certification
Minimum of four (4) years of progressively responsible office experience, which includes six (6) months reviewing, overseeing, and leading the work of others

Preferred

Experience performing customer service in person and over the telephone
Experience working with filing systems organized chronologically and/or by subject matter (must specify on application)
Experience with dictation and transcription equipment (must specify on application)
Experience preparing agenda/taking minutes (must specify on application)
Experience working with various word processing systems, spreadsheets, electronic presentations, and databases (must specify on application)
