Operations & Billing Coordinator
McGinley Transportation Systems (MTS) is an office furniture logistics, delivery, installation, and storage company based in New Jersey. They are seeking an Operations & Billing Coordinator to handle documentation, invoicing, and the close-out of completed jobs, ensuring accuracy and organization in their operations-driven environment.
Responsibilities
Upload and maintain complete job records in our system, including:
Labor purchase orders (POs)
Signed delivery tickets
Site photos
Review labor POs to ensure they match quoted scope and pricing
Verify that delivery tickets and supporting documentation are complete, accurate, and properly organized prior to invoicing
Prepare and issue invoices once documentation is verified
Ensure jobs are fully closed out with accurate records
Review site photos and delivery tickets for issues such as damaged, missing, or returned product
Communicate documentation issues or discrepancies to dealers and customers via email
Track product in storage using Excel and maintain accurate inventory records
Create customer storage reports showing storage charges once product exceeds 30 days
Reconcile documentation that may live across multiple orders or systems
Provide occasional support on simple marketing or administrative tasks as needed (e.g., updating basic materials, organizing assets, assisting with straightforward requests)
