Special Assistant

They are seeking a Special Assistant to provide critical administrative and strategic support to the Chief of Staff of the All of Us Research Program at the National Institutes of Health, ensuring smooth program operations and contributing to high-impact organizational priorities.

Responsibilities
Serve as a member of planning committees for consortium-facing workshops or gatherings
Provide market research, literature review, background information, slides, and other content to assist in preparation for CoS and CEO meetings by distilling information into essential updates
Review social media calendar of posts for approval to ensure accuracy, sensitivity, and relevance
Assist in monitoring program progress against annual goals by tracking dashboards and creating presentations
Contribute to writing reports, talking points, briefings, narratives, and SOPs for program efforts
Maintain confidentiality and demonstrate nuanced understanding of key relationships to ensure positive rapport across program divisions and consortium partners
Serve as right hand to the CoS to execute and support strategic priorities and work across teams to drive results across AoU
As needed, support the Executive Assistant in streamlining the CoS workflow and priorities by prioritizing appointments and anticipating next steps
As needed, support the Executive Assistant in providing materials for off-site meetings
Work closely with the Chief Operations Officer and Executive Assistant to ensure the CoS is set up to make decisions quickly
Work closely with the CoS to prepare for recurring meetings with AoU Senior Staff, All Hands, Consortium meetings, and other sessions as requested
Provide agenda and slide development support
Provide meeting and notetaking support
Follow-up on action items and data requests
Support CoS in planning for and coordinating long-range strategic meetings and discussions with senior staff, including specific CEO Leadership Forums
Prepare for and follow up on internal and external meetings. When needed, participate directly in meetings and follow up with relevant parties
Assist the CoS and members of the leadership team with information-gathering, communication with different parties, developing and monitoring plans, and keeping track of responsibilities
Write proposals, first drafts for CoS or others as needed, including summarizing memos and concise lists
Write and edit emails and other written materials on CoS behalf
Conduct research, create PowerPoint Presentations, and draft talking points for external and internal presentations and speaking engagements
Manage special projects assigned by the CoS
Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
Anticipate needs from the team and identify opportunities to create processes and systems to streamline office flow
Qualification
Required
Master's degree in Biomedical Science, STEM, or other related discipline is required
Minimum of 6 years of professional experience is required
Must have expertise using Microsoft Office, Google Suite, cloud-based video conferencing platforms (e.g., Zoom, Teams, Google Meet, etc.)
Ability to apply judgment to manage conflicting priorities and resources, driving work and results that are the highest value for the organization
Sharp eye for detail. Keep meticulous notes and be able to manage multiple projects in different phases of work at the same time. Context-switching does not bother you
Ability to identify issues, analyze and participate in the resolution of issues/problems
Motivated by professional rather than personal concerns
Show persistence when faced with difficult problems or challenges
Ability to stay calm under stress and uncertainty, influencing the same in your teammates
