Public Works Administrative Staff Assistant I
The City of Susanville is seeking a Public Works Administrative Staff Assistant I who will provide essential office support for the Public Works Department. This role involves a variety of administrative tasks, including managing communications, maintaining records, and assisting with public inquiries and departmental functions.

Responsibilities
Answer telephones, interview callers, follow specific guidelines in providing information and directing calls and taking messages
Respond to all emergency and non-emergency calls for natural gas (in accordance with city natural gas emergency response plan) and water system, dispatch maintenance and repair crews as needed and monitor staff movements in and out of organization
Greet visitors to organization, monitor access and maintain security awareness, provide information to customers
Perform basic cashier duties
Assist in the finance and building and planning departments when needed
Prepare a variety of materials for public works staff, including correspondence, reports, manuals, guidelines, mailings, spreadsheets, data bases and permits
Open, sort and distribute incoming correspondence
Maintain office supply inventories and coordinate maintenance of office equipment
General clerical duties including filing, photocopying, fax and mailing, including filing of natural gas operational records
Maintain electronic and hard copy filing system
Prepare and modify documents including correspondence, reports, drafts, memos and emails
Schedule and coordinate meetings, appointments and travel arrangements
Prepare quarterly mailings and brochures regarding pipeline and natural gas safety in accordance with the city natural gas public awareness program
Attend meetings and prepare meeting minutes
Performs other duties as required
Qualification
Required
Valid California driver's license
High School Diploma or GED equivalent
Modern office practices and procedures including preparing business correspondence, providing customer service, and standard office equipment operation
Customer service principles and practices
Record and information management
Computer operations and common software packages including word processing, spreadsheets, and databases
Basic accounting and bookkeeping
Employ good judgment and make sound decisions in accordance with established procedures and policies
Establish and maintain cooperative relationships with those contacted in the course of work
Understand and follow oral and written management direction and utilize professional written and verbal communication
Perform responsible secretarial and clerical work in a stressful environment
Maintain a professional personal presentation
Position requires prolonged sitting, standing, walking, reaching, twisting, and turning, kneeling, bending, squatting, couching and stooping in the performance of daily activities
Grasping, repetitive hand movement and fine coordination in preparing reports and documents using a computer keyboard
Near vision in reading correspondence and documents and viewing a computer screen throughout the day
Work in a noisy environment with multiple distractions
Operate a variety of office equipment such as a calculator, computer and typewriter
Acute hearing is required when providing telephone service and communicating in person
Ability to lift, drag and push files, computer reports or other materials weighing up to twenty pounds
Preferred
Two years clerical and administrative experience, involving frequent contact with the public preferably in a municipal or government setting
