Front Desk Receptionist
ACTAX is a SF Bay Area-based firm providing accounting, tax, and business consulting services. They are hiring an on-site Front Desk Receptionist / Payroll Admin Assistant to be the first point of contact for clients and support basic payroll and data entry tasks, primarily focusing on front desk and client coordination.
Responsibilities
Answer incoming calls, greet walk-ins, and route requests to the right team member
Schedule and confirm appointments (calendar management, reminders, reschedules)
Follow up with clients for missing documents/info and next steps
Maintain a professional front office experience and handle basic office coordination
Assist with payroll-related admin tasks (collecting timesheets, data entry, checklists, status tracking)
Track deadlines and follow up with clients for missing payroll items
Support payroll documentation, basic client communications, and internal workflow updates
Scan, print, and organize client documents to support accounting staff
Escalate issues/questions to senior staff as needed
Qualification
Required
Strong Phone Etiquette and Receptionist Duties skills
Proven ability in Customer Service and professional Communication
Excellent organizational skills and attention to detail
Ability to multitask in a dynamic environment
Preferred
6-12+ months experience in reception/admin (professional office preferred)
Experience with CRM software (Zoho)
Prior experience in client-facing or administrative roles is a plus
