Colonel Event Coordinator

The Honorable Order of Kentucky Colonels is seeking a Colonel Event Coordinator to develop, coordinate, and manage events associated with its Colonels, Board, and partners. The ideal candidate will be detail-oriented and capable of managing multiple projects while effectively communicating with various stakeholders.

Responsibilities

Coordinates, plans, and manages all events related to operations, including grant appreciation events, dinner/dances, board meetings, sport related events, volunteer experiences, in and out of state travel events, etc
Coordinates, plans, and manages Kentucky Colonel vendor participation events, such as the Kentucky State Fair booth and vendor fairs
Coordinates limited fundraisers and engagement opportunities
Manages all aspects of event budgeting and reporting and produces revenue and expenditure results within the approved budget
Identifies and negotiates with appropriate on-site and off-site venues and vendors, with contracts requiring final approval by the Senior Director of Colonel Relations
Works with the Colonel Relations Coordinator for event list management, RSVP tracking and reporting
Works with all event stakeholders from pre-event strategy to obtaining post-event feedback
Develops annual budget for events with the coordination of the Senior Director of Colonel Relations
Superb project management skills, initiative, and creativity
Conducts data research on Colonels
Assists in the development of short and long-range organizational plans
Ability to work with limited supervision in a collaborative environment
Ability to meet deadlines
Assists team members with volunteer activities and other organizational activities, if needed
Participants in Board committee meetings as needed
Assists with opening mail, processing donations, or depositing donations as needed, and answers phones
All other duties as assigned

Required

Excellent writing skills
Must be able to interact with various personalities and communication styles at all levels
Ability to speak effectively before groups
Ability to calculate figures and amounts such as discounts and percentages
Ability to apply common sense understanding to carry out instructions furnished in written or oral
Ability to deal with problems in an efficient way
To perform this job successfully, an individual should have extensive knowledge of word processing, spreadsheet programs, and CRM software
Must have a valid driver's license
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job
While performing the duties of this position, the employee is regularly required to stand, walk, climb stairs, sit, and listen or talk
The employee is required to lift and/or move items up to 25 pounds
Scheduled weekly hours are 20-25 hours per week but expect to work longer hours on event/meeting days and some weekends
Travel in and out of the state may be required based on events, 25% or less annually

Preferred

Degree in business, communication, or marketing field preferred but not required
Five (5) or more years of experience in the event field
Experience in a professional service office environment
