Technology Specialist

The Kalamazoo Promise is dedicated to enhancing educational opportunities and is seeking a Technology Specialist to manage their core software systems and technology infrastructure. Responsibilities

Maintain technology asset inventory and manage hardware lifecycle including procurement, deployment, maintenance, and retirement (work stations, office, and cell phone technology)
Coordinate with vendors and contracted IT management company for workstation support, Microsoft 365 administration, and infrastructure support
Meet regularly with IT management company and office suite technology partners
Provide technology setup and support for organizational events, home office and remote workstations, cross-train designated staff to build internal capacity, and facilitate donated laptop distribution to scholars
Administer core software applications including Microsoft 365/Teams/SharePoint ecosystem, Modern Campus Message (text messaging platform), and SendGrid (email platform)
Onboard/offboard staff to organizational software systems, configuring access and training on technology tools
Partner with internal teams to identify, build, and implement custom technical solutions (focused on Microsoft 365 ecosystem)
Collaborate with Data Analyst to ensure applications and process improvements maintain data quality, integrity, and align with reporting needs
Cross train on custom Promise portal use and support data and database efforts as needed
Build relationships with staff across all departments through regular engagement and advocacy for user needs
Provide responsive technology support by triaging requests, determining resolution paths, and maintaining proactive communication
Seek opportunities to train staff in relevant technology and systems to increase staff self-service capabilities and reduce support ticket volume
Build security-conscious culture by administering KnowBe4 platform, delivering annual security training, and fostering proactive data protection
Champion FERPA compliance through quarterly audits and Data Loss Prevention (DLP) policies
Coordinate with IT management company on technology risk assessments, security incident response, annual tabletop exercises, and documentation
Implement and maintain AI governance framework and technology evaluation protocols, working with Director of Data Systems and Technology to develop and update policies
Assess new technology for security and compliance before adoption
Create and maintain documentation for all technology and application systems including user guides and quick reference materials
Plan, launch, and manage an organization-wide Sharepoint knowledge base to increase organizational alignment and effectiveness
Monitor technology budget and recommend strategic improvements
Generate regular performance reports: monthly support ticket metrics, quarterly compliance audits and budget status, annual technology risk assessments
Collaborate with Director of Capacity Enhancement on technology strategy and roadmap
Commitment to staying updated on emerging technologies and inclusive technology practices relevant to nonprofits
Uphold the highest standards of confidentiality and data privacy
Demonstrate a professional appearance and conduct that reflects the organization’s values, fostering a respectful and positive environment
Some evening and weekend hours may be required to support organizational initiatives

Required

Bachelor's degree in IT or technology related field or equivalent experience/training
Experience managing Microsoft 365 ecosystem
Experience with hardware asset management, IT vendor coordination, and ticketing systems
Strong organizational skills, attention to detail, and ability to manage multiple priorities independently
Excellent problem-solving skills and technical aptitude
Proven ability to communicate effectively with diverse audiences, explaining technical issues clearly to staff and providing detailed documentation to vendors
Strong understanding of FERPA requirements, data privacy principles, and cybersecurity best practices
CompTIA A+ or Network+ or Nonprofit Technology Professional Certificate Certified (or similar IT certification)

Preferred

3+ years of experience in IT operations, SaaS administration, or technology support
Microsoft 365 certifications (MS-900, MS-102, or similar)
Experience in nonprofit or education sector with managed IT services model
ITIL (Information Technology Infrastructure Library) Foundation or similar service management framework knowledge
Security certifications (CompTIA Security+, MS-500, or similar)
Experience managing AI governance policies
Passion for equitable education access and technology for social good
