Program Coordinator
Children's Guardian Fund is seeking a full-time Program Coordinator to support the Program Director in managing day-to-day program operations focused on meeting the emergency and ongoing needs of local children and youth in foster or state care. The role involves managing communications, data management, and coordinating meetings while ensuring effective program operations and strategic growth initiatives.
Responsibilities
Process 30-80 funding requests monthly, applying critical thinking to flag suspicious or inappropriate requests and researching additional details to facilitate efficient processing
Ensure data integrity by troubleshooting formatting issues and verifying information accuracy and consistency
Prioritize and expedite emergency requests requiring quick turnaround
Manage grant compliance by tracking restricted fund expenditures and outcomes; prepare grant reports and compile data for new grant applications
Coordinate tutoring program logistics, including intake, onboarding, and compliance with pre- and post-assessment requirements and quality control measures
Support special events including holiday gift distribution, volunteer resource sessions, and committee meetings
Maintain current and accurate case information through ongoing data entry and verification as situations evolve
Generate monthly and quarterly reports that accurately reflect program outcomes
Participate in strategic planning discussions and contribute to program development initiatives
Lead at least one program initiative or pilot project annually, with increasing scope and complexity over time
Represent the organization at community partner meetings and coalition gatherings
Assist in developing and refining program policies, procedures, and best practices
Collaborate with the Program Director on annual program evaluation and continuous improvement efforts

Qualification
Required
Bachelor's degree, or equivalent combination of education and experience
Proficiency in Microsoft Office Suite, including mail merge, data export, and Excel spreadsheets
Ability to learn new software tools and database systems
Self-directed with strong ability to prioritize tasks and work independently
Critical thinker with problem-solving skills and resourcefulness in seeking information
Ability to work effectively with volunteers, committees, and partner agencies
Strong project management skills with exceptional attention to detail
Excellent written and verbal communication skills
Comfortable presenting to groups and speaking publicly
Flexibility to work occasional evenings or weekends
Demonstrated commitment to ethical practice and mission-driven work
Valid driver's license and reliable transportation required
Preferred
Prior experience with WordPress, NetSuite, and Guite a plus
Leadership potential and desire for long-term career growth in non-profit program management
