Executive Assistant

Responsibilities
Proactively manage the calendar of busy CVP level engineer - making decisions on behalf of executive based on shifting business priorities to ensure accurate scheduling and appropriate allocation of time
Provide team support for over 100 FTEs, including headcount management, budget, morale events, distribution group management, onboarding/offboarding and other tasks/projects
Manage space coordination, new employee setup, and procurement of goods and services including computer equipment, office supplies, reference materials and facility requests
Build and maintain good business relationships with executive level and counterpart administrative staff, both internally and externally accommodating differing working styles and perspectives of diverse individuals and groups. Must be assertive and have a high level of integrity and consistently demonstrate a positive can-do attitude with the ability to maintain the confidentiality of sensitive material with tact and professionalism
Work as part of a solid admin team to manage the needs of the overall organization
Qualification
Required
7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management
Preferred
Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience
Demonstrated administrative experience, customer services or equivalent work experience in a fast-paced environment
Solid and proven Microsoft Outlook calendar management experience
Solid planning and organization skills, positive attitude, and willingness to learn
Excellent communication and interpersonal skills
Team player who appreciates diversity and handles different workstyle and personalities harmoniously
Ability to prioritize work and complete projects on time, demonstrate drive and initiative, maintain confidentiality of information
Ability to pay close attention to detail and able to monitor complex plans and schedules and react with appropriate urgency to situations and events that require quick response or turn around
Ability to handle ambiguous situations with good judgement and deal with stressful situations with graceful attitude
Knowledge and proficiency with Microsoft products and internal systems including Outlook, Microsoft Office, Teams, Employee Central, HRInsights, Myexpense
