Event Operations & Client Services Coordinator
RacePenguin Timing Co. is Ohio’s largest race timing and event operations company, supporting over 200 events each year. They are seeking a motivated Event Operations & Client Services Coordinator to manage client relationships, coordinate events, and ensure successful race-day logistics.

Responsibilities
Serve as a primary point of contact for clients, ensuring their needs are met throughout the event lifecycle
Participate in sales conversations with prospective clients and help articulate RacePenguin’s services and value
Create and update registration platforms and event webpages on RunSignUp.com and RacePenguin.com
Provide high-level customer service to clients, partners, and participants
Assist in sponsorship outreach for RacePenguin-owned events, helping build relationships with local and regional businesses
Create sales proposals, event quotes, and onboarding materials for new clients
Learn and operate race timing technology for running, cycling, cross country, and track & field events
Lead or assist with event-day setup, including timing equipment, sound systems, course signage, and participant check-in
Drive company vehicles (vans, pickup trucks, and small trailers) to event locations
Coordinate the planning and execution of RacePenguin-owned events, including: Permitting and coordination with local government agencies, Sponsorship acquisition, Volunteer recruitment and organization, Vendor acquisition and coordination
Assist with office inventory, equipment preparation, and organization
Perform basic upkeep to maintain a clean, efficient workspace
Collaborate with internal teams to ensure event materials, technology, and logistics align with client expectations
Qualification
Required
Strong interpersonal and relationship-building skills
Problem-solving mindset, especially in fast-paced situations
Organizational strength with the ability to manage multiple projects simultaneously
Excellent communication skills, including clear professional writing and confident verbal communication
Experience with Microsoft Office (Excel & Word) and Google Workspace
Ability to work collaboratively and lead part-time event staff
Bachelor's degree or equivalent experience in sports management, business, marketing, event management, hospitality, or related fields
Valid U.S. driver's license; ability to drive vans, pickup trucks, and small trailers
Comfortable learning new software, timing systems, and operational workflows
Ability to lift 50+ lbs and work early mornings and weekends
Ability to work under pressure and adapt to changing environments
