Payroll, Benefits & Accounts Payable Specialist

Anderson Coach and Travel is seeking a Payroll, Benefits & Accounts Payable Specialist responsible for the accurate processing of payroll, administration of employee benefits, and execution of accounts payable functions. The role supports employee onboarding and coordinates between Finance, HR, and external partners, ensuring compliance and maintaining employee trust.

Responsibilities

Process payroll on a regular schedule using Paycom for approximately 250 employees
Ensure accurate entry and maintenance of employee data, including new hires, terminations, pay changes, deductions, and garnishments
Review and validate timekeeping data, pay rates, bonuses, reimbursements, and deductions prior to payroll submission
Ensure compliance with federal, state, and local payroll laws and regulations, including multi-state requirements if applicable
Prepare, review, and reconcile payroll reports and general ledger postings
Respond to employee payroll questions and resolve discrepancies in a timely and professional manner
Coordinate year-end payroll activities, including W-2 preparation and distribution
Administer employee benefit programs, including health, dental, vision, retirement, and other voluntary benefits
Manage benefit enrollments, changes, and terminations within Paycom and with benefit providers
Serve as a point of contact for employee benefit questions and issue resolution
Coordinate open enrollment activities and ensure accurate communication and system updates
Reconcile benefit invoices and ensure accurate payroll deductions
Support onboarding for new hires, including system setup in Paycom, payroll enrollment, and benefits eligibility
Ensure completion and accuracy of required employment documentation (I-9, W-4, direct deposit, acknowledgments, etc.)
Coordinate with management to ensure timely onboarding and first-pay accuracy
Maintain organized and compliant employee records
Process vendor invoices, ensuring proper approvals, coding, and timely payment
Execute payments via check, ACH, or other approved methods
Maintain vendor files and resolve invoice discrepancies
Reconcile vendor statements and assist with month-end close activities related to accounts payable
Maintain accurate and auditable AP records
Maintain confidentiality of payroll, benefits, and financial information
Ensure internal controls and procedures are followed for payroll, benefits, and AP
Assist with audits and provide requested documentation
Support process improvement initiatives and documentation of procedures

Required

Associate's or Bachelor's degree in Accounting, Finance, Human Resources, or related field (or equivalent experience)
3--5+ years of payroll experience, preferably supporting 200+ employees
Hands-on experience with Paycom or similar HRIS/payroll systems
Working knowledge of payroll tax compliance, benefits administration, and accounts payable
Proficiency in Microsoft Excel and accounting systems
Strong attention to detail with a high level of accuracy and discretion
Ability to manage multiple deadlines and priorities
Strong organizational and documentation skills
Clear, professional communication with employees and vendors
Problem-solving mindset with strong follow-through
High degree of integrity and confidentiality
