Senior Administrative Assistant

Responsibilities

Provide professional administrative and staff support services while maintaining confidentiality
Organize and maintain department files, records, and documentation
Maintain and order office supplies within budgetary and departmental guidelines
Manage calendars, independently schedule appointments and conference calls, and originate meeting invitations
Coordinate and arrange departmental, staff, and corporate meetings as required
Prepare meeting agendas, secure facilities/locations, take meeting minutes, and distribute as needed
Attend meetings to set up, manage, and run PowerPoint presentations
Compile and prepare PowerPoint presentation content for designated meetings
Compose and prepare confidential correspondence, reports, documents, presentations, emails, and faxes
Make copies of correspondence and other printed materials as necessary
Review, sort, and route incoming and outgoing mail and faxes
Update and maintain spreadsheets, contact lists, and various department reports
Research and gather information from internal and external sources
Prepare expense reports and check requests
Perform special projects and other administrative duties as assigned

Required

Strong phone communication skills
Computer proficiency
College degree required (Associate's Degree or higher)
Associate's Degree (A.A.) or equivalent from a two-year college or technical school
6+ years of related administrative, executive secretarial, or office management experience
High level of proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Ability to learn additional software applications as required
Strong organizational skills with the ability to manage multiple projects simultaneously
Excellent time management and communication skills
Strong attention to detail and accuracy
Ability to write reports, business correspondence, and procedural documentation
