Executive Administrative Assistant

Responsibilities

Manage the executives’ calendars, schedule all internal and external meetings, and setup video and audio conferencing when required
Effective & flawless calendar management (resolving any conflicts effectively & efficiently)
Maintain an overall awareness of the executives’ business activities, anticipate the needs that are associated with each meeting / event, and preempt the needs of other parties involved in the executives’ meetings
Represent executives to other senior officials both within and outside the organization in a positive and professional manner
Professionally driving team conversations & follow up correspondence
Coordinate travel arrangements point-to-point and associated logistics (including domestic & international)
Accurately processing expense & mileage reports with timely submission
Meeting preparations to include booking conference rooms & coordinating with catering facilities & prioritizing tasks
Maintaining accurate & updated organization charts
Able to participate in special projects, embrace & execute any & all other duties as required or assigned

Required

High School Diploma with 8 years of relevant work experience
Adept with Microsoft Office suite including M365, Outlook, Work, PowerPoint, Excel
Experience working in a versatile environment, handing an array of duties and responsibilities
Experience supporting and communicating with Executive Leadership
Experience sending out communications across organizations
U.S. citizenship is required, as only U.S. citizens are authorized to access information under this program/contract

Preferred

AA/AS degree and a minimum of 6 years of prior relevant experience
