Responsibilities

Assist with day-to-day client service requests; proactively resolve clients’ issues and concerns
Work with the administrator and clients to ensure funds are received in good order by fund close
Monitor Wire/ACH daily funds movement
Onboard new and maintain existing client accounts
Assists in client account updates/changes when requested
Reporting assistance- monthly & quarterly website reports/board book reports/sales presentations
Complete and respond to audit confirmation requests
Assist/prepare client reports and other materials for client meetings
Being available to answer incoming phone calls and email requests from clients/prospects
Supports Client Advisory/Business Development team with sales, service, and operational-related activities such as providing service to clients via telephone, direct interaction, and/or email
Identify and assist with DBIA services and solutions that support clients’ needs
Provide administrative support to the internal (DBIA) teams, including the creation of PowerPoint presentations, data analysis, reports, graphics, etc
Update and maintain standard marketing materials through Constant Contact, including daily rate emails, weekly emails, monthly rate emails, and newsletters
Assist with the administration of external provider updates and upkeep of FIT websites
Maintain CRM (Salesforce) application, including the addition and segmentation of clients
Crosstrain with other team members on systems such as Salesforce, Nexen, and Constant Contact to ensure coverage during absences
Complete IPS acknowledgements for clients
Maintain departmental calendar, which includes weekly meetings, conferences, and project deadlines
All other duties assigned that assist with the effectiveness of the firm

Required

Bachelor's degree, preferably in accounting or business administration
Client service and financial services experience preferred
Proficient in Microsoft Suite Products (Word, Excel, PowerPoint, etc.)
Possess strong verbal and written communication skills to engage with staff, vendors/clients, partners, and board members
Communication - highly effective at communicating to others (both verbally, in person, and in writing using various means of communication)
Curiosity – Wants to know the why in addition to how things work
Detail-oriented – Accuracy and accountability is paramount
Initiative – Doesn't need to be prompted to do their job. Look for new ideas and approaches that lead to more effective, efficient processes
Work Ethic - Works well in a group or on independent tasks. Must be a team player
Judgement - Demonstrates good judgment and decision-making
