Responsibilities
Calendar & Schedule Management: Manage complex calendars, set priorities, and coordinate meetings/agendas for CoS and CEO
Travel Coordination: Arrange detailed travel itineraries, flights, accommodation, and transportation for CoS and CEO
Communication: Screen calls, emails, and mail; draft correspondence under the guidance of the CoS; act as a liaison with internal/external stakeholders
Document Preparation: Design and edit sophisticated reports, board-level presentations (PowerPoint), complex spreads, and official memos with a high degree of accuracy
Confidentiality: Demonstrate the ability and temperament to work with sensitive information with discretion and sound judgment
Office/Admin Support: Order supplies, managing e-filing systems, order refreshments, oversee general office flow including coordination of vendor relations
Proactive & Anticipatory: Anticipate the needs of the CoS and CEO by identifying potential scheduling conflicts or document requirements before they arise
Time Management: Coordinate all logistics for high-level meetings, including room setup, catering, and technology, ensuring a "room-ready" state well ahead of the start
Other duties assigned by CoS or CEO
Demonstrate professionalism, good judgment, and present a friendly, cooperative attitude
Ability to multitask, make quick decisions, adapt to change, and collaborate effectively in a fast-paced, team-orientated environment
Adheres to all GWH Policies & Procedures, Loss Prevention & Safety Regulations, and GWH Guiding Principles
Must be punctual, dependable, and maintain a professional appearance
Maintain a high level of confidentiality
Must safely perform work; maintain good housekeeping standards and ensure all aisles and pathways to fire exits are clear and free of clutter
Adheres to local, state, and federal laws and regulations
Qualification
Required
A high school diploma or the equivalent is required; a bachelor's degree in business related field or Communications is preferred
A minimum of five (5) years of related experience is required
Resourceful, detail-oriented, and able to prioritize and manage multiple tasks in a fast-paced environment with minimal supervision
Knowledge and experience in complex calendar management, domestic and international travel logistics, and large-scale meeting coordination (including board-level support)
Must be able to maintain the highest levels of confidentiality, exercise impeccable judgment, and communicate effectively with a diverse range of stakeholders, including Board members, donors, and staff
Must have demonstrated knowledge of professional business correspondence, record-keeping protocols, and project management fundamentals
Must be familiar with productivity suites (MS Office, Google Workspace) and relevant tools, including video conferencing platforms (Zoom/Teams) and expense reporting software
Preferred
A bachelor's degree in business related field or Communications is preferred
