Responsibilities
Manage CEO’s calendar, scheduling, and priorities
Coordinate speaking engagements, seminars, and events
Act as liaison between CEO, staff, vendors, and external contacts
Organize emails, calls, correspondence, and follow-ups
Maintain confidential files and records
Answer and direct phone calls
Sort mail and manage communications
Prepare documents, reports, and presentations
Assist with general office coordination
Enter bills and perform basic bookkeeping in QuickBooks
Support light HR, payroll, and administrative processes
Assist with building and maintaining AI bots and automation tools
Test and manage AI workflows using modern platforms
Support systems that eliminate non-value-added tasks
Assist with video editing and content preparation
Support marketing initiatives, social media, and Google Ads coordination
Qualification
Required
Strong executive assistant or administrative experience
Excellent organizational and time-management skills
Very strong computer skills (Mac, Microsoft Office, cloud tools)
Tech-savvy with exposure to AI tools, automation, or advanced software
Clear written and verbal communication skills
High discretion and professionalism
Ability to manage multiple priorities independently
QuickBooks experience (or some basic understandings of accounting)
Video editing or content creation experience
Familiarity with AI tools or automation platforms
Preferred
Associate degree or higher (preferred, not required)
