Administrative Aide - Prosecutor's Office/Diversion
City of Phoenix is seeking an Administrative Aide for the Prosecutor's Office/Diversion Unit, which oversees diversion programs for eligible defendants. The role involves conducting administrative duties, compiling data, processing payments, and providing support to the Diversion team.

Responsibilities
Conducting daily reporting and administrative duties for assigned Diversion programs
Compiling data and preparing monthly, annual, and special reports through PROSECUTORbyKarpel (PbK)
Processing restitution requests and payments for diversion programs into SAP
Preparing and processing motions
Assisting with contract monitoring by observing classes and auditing files
Creating and maintaining Excel spreadsheets for various projects
Answering and responding to Diversion program related questions and problems
Preparing correspondence
Researching cases for recidivism studies
Serving as back-up and support to Diversion team members
Qualification
Required
Four years of experience performing clerical duties
OR Bachelor's degree in public or business administration or a related field
Other combinations of experience and education that meet the minimum requirements may be substituted
All finalists for positions are subject to a criminal background check applicable to the department or position
Candidates who receive a conditional offer of employment must be fingerprinted and will have their fingerprints used to check the Criminal History Records of the State of Arizona Department of Public Safety and the Federal Bureau of Investigation. Any records returned will be reviewed to determine the candidate's suitability for the job
Exhibits basic understanding of accounting principles
Demonstrates an attention to detail
Has ability to work independently and meet tight deadlines
Has ability to provide seamless customer service
Has ability to monitor and compare data to determine compliance with prescribed operating standards
Has ability to work in a cubicle environment with noise and frequent interruptions
Possesses strong computer skills
Possesses interpretation and decision-making skills
Possesses strong verbal and written communication skills
Possesses Outlook, Excel spreadsheet and Word document, and PowerPoint knowledge
Preferred
Degree in a criminal justice program or a related field
Experience with legal terminology and the criminal justice process
Experience with Contract Monitoring and Compliance
Experience with compiling, analyzing data and preparing reports
Experience with SAP invoicing and Payment Control documents
Experience with creating program procedures and/or program processing, such as data entry, case management, or other operational duties
Bilingual, ability to speak Spanish is desired
