Temporary Deputy Clerk/ Compliance Officer- Justice Court
NEOGOV is looking for a Temporary Deputy Clerk/Compliance Officer for the Justice Court in Madison County. This role involves supervising defendants, ensuring compliance with court orders, and assisting the Justice Court Administrator with various clerical duties.

Responsibilities
Maintain full court reminders to assure Defendant complies with all sentence conditions: Fine, surcharge, restitution, time pay & court compliance check-in agreements; Send warning notices on citations not paid on time; attempt to contact defendants prior to placing them in the warrant file; Community Services; Victim Restitution notify JCA to ensure restitution is paid to victim; Defensive Driving courses; Alcohol and Drug courses; other classes that may be ordered; SCRAM or Electronic Monitoring; Detention; and Provide the County’s Finance Department with Workers’ Compensation records quarterly or as required
Monitor defendant completion of all conditions of court orders prior to the end of the suspended or deferred sentence. If Defendant is noncompliant on any condition, the following can occur: Send notice of non-compliance to County Attorney's office IF sentence was Suspended or Deferred. Send a copy to Defendant or Attorney; and Send Defendant warning notice or request a Show Cause Hearing date from JCA
Assist JCA with jury trials as clerk or bailiff as needed. Support the JCA as needed including but not limited to setting up files, run repository check on mandatory appearances for the Court; processing mail; Assist JCA with clerical overflow as needed and fill-in during his/her absence and complete duties delegated by JCA; and Must be of good moral character, trustworthy and a self-motivated and responsible person
Must have a good working knowledge of computers, Microsoft Word, Excel, and basic accounting knowledge as well as good typing skills, formatting, must be proficient in spelling and grammar and good communications skills
Travel is required as needed for training
Must be able to learn the Court Case Management System, all Court programs, Criminal and Civil as it applies to Justice Court, maintain court records and files, and keep current with data entry
Maintain and file all books, papers, and records filed by the court in accordance with applicable statutes and procedures established by the judge. Set up and maintain all criminal and civil records filed; process all traffic and criminal citations issued in the County; process all criminal complaints from the County Attorney's Office; maintain documentation of all records of proceedings in every case; and process all civil cases. Issue and maintain proper civil forms which include: summons, complaint, praecipe, default judgments, writs of possession, and sheriff standby etc. Process temporary and permanent orders of protection
Track all cases for defendant compliance and implement procedures for defendants who violate sentence conditions. Attend hearings and clerk in the courtroom for the judge. Operate video arraignment equipment, maintain court calendar, schedule Omnibus, show cause, eviction, and other hearings
Provide professional, courteous customer service to the citizens of the County by greeting and assisting the public in a professional manner that reflects the proper respect and impartiality of the judicial system. This includes answering phones, receiving the public, providing customer assistance, cashiering, performing data entry and word processing, bookkeeping, picking up mail, and processing outgoing mail. Provide proper legal forms and accurate instructions to the public. Maintain strict confidentiality of information
Complete with accuracy and efficiency the administrative functions of the office to implement County legal processes in accordance with state laws. These duties include processing and distributing court documents to various agencies such as; law enforcement agencies, attorneys, detention centers, counseling agencies, the Motor Vehicle Division, the public defender’s office, the County attorney’s office, the treasurer’s office, and ensuring that conviction information is transferred to appropriate agencies
Process all monetary transactions efficiently in accordance with established court guidelines. This includes but is not limited to; collecting and processing all monies received through fines, fees, bonds, and restitution; disbursing funds for restitution and bonds; and preparing daily bank deposits, as well as weekly and monthly financial reports
Assisting the judge as a legal clerk and bailiff
Assist the JCA as needed
Qualification
Required
High School diploma/GED
3 years of office/administrative experience
Freedom from illegal use of drugs and freedom from use and effects of drugs and alcohol in the workplace
Must pass a background check
Good working knowledge of computers, Microsoft Word, Excel, and basic accounting knowledge
Good typing skills, formatting, proficient in spelling and grammar
Good communications skills
Ability to interpret and enforce institutional rules, regulations, and other policies with firmness, tact and impartiality
Ability to effectively direct, and instruct defendants individually and make accurate risk assessments
Ability to read, speak, and write English effectively and interpret written material
Ability to make simple arithmetic calculations
Ability to use electronic information equipment and specific systems utilized within the department
Ability to enter data accurately
Ability to use word processing software to prepare clear and concise reports
Ability to accurately follow oral and written directions
Ability to promote acceptable attitudes and behavior of defendants
Ability to work with and around a wide variety of people
Ability to make quick, effective and reasonable decisions and take appropriate action to resolve issues
