Preventative Maintenance Coordinator

The City of Frederick is seeking a Preventative Maintenance Coordinator to oversee the daily inspection, repair, installation, and preventative maintenance of the city’s fleet. This role involves coordinating major repair activities and ensuring that vehicles are properly equipped and maintained.

Responsibilities

Participates in the development and implementation of the preventative maintenance program for the City’s diverse fleet of vehicles and equipment
Responds to inquiries and complaints from fleet users
Prepares cost estimates for repairs and alterations to vehicles and equipment
Prepares requisitions and purchase orders for parts, tools, equipment and materials
Maintains records for vehicle and equipment repairs and servicing
Monitors a wide variety of reports, records and fields pertaining to fleet maintenance
Maintains and coordinates the City fleet’s emission testing schedule
Monitors work procedures, preventive maintenance and repair standards, and service schedules to ensure they are in place and adhered to
Ensures adequate first aid supplies are in inventory in the shop
Ensures supplies are available to ensure fleet vehicles are properly equipped with first aid materials
Operates a vehicle on a regular basis, observing legal and defensive practices
Performs, monitors and corrects fuel and mileage upload process. Schedules PMs (oil changes), communicates schedule to affected departments, and monitors completion of PMs
Ensures PMs are properly recorded, updates and adjusts inventory level for fluids, filters and other inventory items. Reorders inventory as needed

Required

Must be a U.S. Citizen and at least eighteen (18) years of age
High school diploma or general education diploma (GED). Additional relevant experience working with the operation, maintenance, or in the administration of fleets of vehicles may be substituted in lieu of formal education
Three (3) years of full-time, wage-earning experience in motor vehicle services, such as motor pool management or procurement, maintenance and repair operations for a large organization, preferably in the public sector; or an equivalent combination of training and experience in general maintenance or construction
Equivalent technical or trade school courses in a maintenance or construction related field might be substituted for two (2) years of the required experience
Vehicle Operator's license with satisfactory driving record that meets insurability standards of the City's insurance carrier is required. The employee must maintain the license for the duration of their employment
Proficiency in using a wide variety of computer software and fleet software programs
Proficiency in use of Microsoft Office Suite, particularly Outlook, Word and Excel
Ability to read and interpret data, information and documents; analyze and solve problems
Ability to read and interpret plans, specifications and manuals
Ability to use math and mathematical reasoning
Ability to learn and apply new information or new skills
Ability to interact with City managers, end-user customers, employees, vendors, and others encountered in the course of work
Ability to coordinate work assignments with other divisions, departments and agencies
Ability to observe and interpret situations
Ability to work under deadlines with constant interruptions
Ability to interact with City staff, other organizations and the public
Ability to exercise independent judgment and initiative within established guidelines
Ability to identify and implement effective courses of action to complete assigned work
Ability to safely operate a motor vehicle
Ability to read and communicate effectively in English
Ability to wear safety toe boots, and will be required to successfully complete training that will include but not be limited to CPR & First Aid, electrical safety, etc
