Responsibilities

Review time off requests and timecard data in ADP
Maintain and update the company PTO calendar
Serve as the welcoming face of FACTS by greeting visitors and teammates
Answer phones, manage the front door, receive & distribute mail and packages
Provide general office support including scanning & copying various documents
Order and distribute office snacks, requested teammate orders, and supplies
Maintain breakroom equipment and office common areas
Monitor and restock first aid kits and office essentials
Perform weekly building walkthroughs to identify maintenance needs
Coordinate routine maintenance and vendor scheduling
Request quotes and communicate with vendors as needed
Maintain & routinely audit vendor documents including W9s and Certificates of Insurance ensuring legal compliance
Assist with onboarding and offboarding processes
Distribute HR documents to teammates
Support benefits administration and open enrollment activities
Maintain Admin & HR Planner for scheduled tasks
Assist in updating procedures
Respond to routine HR related questions
Review benefits invoices for accuracy & assist teammates with benefit related questions
Assist with recruiting activities including job postings and interview scheduling
Assist with reconciling HR related expenses
Maintain HR records, directories, and organizational charts
Collect and organize invoices, receipts, and packing slips
Assist with basic AP and AR tasks such as purchase order receipts and invoice entry in our accounting system
Maintain discretionary use of company credit cards, banking, and other confidential information
Review monthly invoices for accuracy & prepare entry in accounting system
Support accounting during busy periods and special projects
Send weekly AR statements and invoices
Help coordinate birthdays, anniversaries, and team celebrations
Assist with company events, catering, and decorations
Assist with newsletters, charity drives, and companywide events
Coordinate travel & meeting arrangements for customers & teammates

Required

Strong organizational and time management skills
Basic understanding of HR & accounts payable/receivable functions
Ability to multitask and prioritize effectively
High attention to detail and discretion with confidential information
Self-starter, positive, proactive, and solution focused mindset
Strong written and verbal communication skills
Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
Willingness to learn ADP Workforce Now and other internal systems
High school diploma or equivalent required
Two or more years of administrative, HR, or office experience required

Preferred

Desire to pursue professional development, including future SHRM-CP/ Accounting certifications
Facilities management or vendor coordination
Event planning or office event coordination
