Assistant to Chief Executive Officer

Responsibilities

Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements
Handle daily correspondence, draft emails, and manage incoming and outgoing communications on behalf of the CEO
Act as a gatekeeper, screening and prioritizing requests for the CEO’s time and attention
Prepare agendas, presentations, and materials for meetings and ensure the CEO is well-prepared
Attend meetings, take notes, and follow up on action items as needed
Plan and organize executive events, offsite meetings, and team gatherings
Assist the CEO with special projects and initiatives, coordinating with other team members as necessary
Track progress and ensure timely completion of projects, identifying and addressing any issues along the way
Organize and prioritize tasks to align with the CEO’s strategic goals
Serve as a point of contact between the CEO and internal/external stakeholders, maintaining professionalism and confidentiality
Coordinate communication and ensure key information flows between the CEO and various departments
Draft and distribute internal memos, reports, and other communication materials on behalf of the CEO
Arrange domestic and international travel, including flights, accommodations, and itinerary planning
Prepare and submit expense reports, track expenditures, and manage budgeting for travel and events
Conduct research, compile data, and create reports and presentations to support the CEO’s decision-making
Maintain confidential files, records, and databases
Assist in preparing and distributing performance reports, company updates, and other key documents
Anticipate the CEO’s needs and proactively provide support to ensure smooth operations
Handle confidential and sensitive information with the utmost discretion

Required

Bachelor's degree in Business Administration, Communications, or a related field preferred
3+ years of experience as an Executive Assistant, ideally supporting C-level executives
Strong organizational skills and attention to detail
Excellent written and verbal communication abilities
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools
Ability to manage multiple tasks, set priorities, and meet deadlines in a fast-paced environment
High level of discretion and confidentiality
Adaptable and proactive, with the ability to anticipate needs and act with minimal guidance
