Executive Assistant

They are seeking a highly organized and proactive Executive Assistant to support the Chief Compliance Officer and the CFCC team, managing complex calendars, communications, and various administrative tasks while maintaining confidentiality.

Responsibilities
Provide comprehensive and timely administrative support to Chief Compliance Officer, Americas and Head FCC EA (“CCO”), maintaining confidentiality and appropriate handling of such matters
Manage CCO’s calendar, internal/external meetings, key dates/deadlines, prioritize and coordinate schedules efficiently
Weekly review of CCO’s calendar in advance to ensure all information for meetings is entered correctly, prioritizing the most sensitive matters and working with the various parties when conflicts arise
Schedule all governance forums where the CCO is the Chair
Organizing meetings, including scheduling, sending reminders, and organizing catering or other special items/requests when necessary
Keeping the CCO advised of time-sensitive and priority issues and ensuring appropriate follow-up
Assist in the preparation of correspondence, presentations, and reports including ensuring that such documentation is accurate and completed in a timely manner
Work with CCO colleagues to ensure efficient management of the team (e.g., in relation to supplies/services) and efficient liaison with other departments
Involve and participate in ad-hoc projects as needed, including supporting other departments and senior managers/executives as needed
Coordinate closely with CCO’s direct reports and teams supporting the CFCC function
Coordinate CFCC staff meetings, CFCC Leadership meetings, and CCO’s one-to-one meetings with direct reports, senior staff, and peers
Liaise with International colleagues to coordinate CFCC meetings and maintain close working relationship with key CCO stakeholders and their support staff
Assist senior visitors with itineraries and onsite accommodations and requests, liaising with their support staff
Support other administrative tasks as assigned by the CCO
Distribute incoming or outgoing mail
Process vendor invoices for payment in timely manner, track finances, handle all vendor onboarding and arrange reallocations if necessary
Timely preparation, reconciliation, and submission of expense claims reports for approval and/or reimbursement
Arrange all travel and accommodation (international/domestic) with Group-approved travel agencies
Create daily itineraries for trips and schedule internal/external meetings
Process all travel & expense reports for the CCO as well as review/approve CCO’s direct reports expenses and purchase requisitions according to policy
Create IT tickets for CCO and liaise with Tech teams to quickly resolve technology systems/device challenges. Approve SRM and IT incident requests
Work with the Onboarding Specialist to ensure all technology (computer/phone/etc) have been ordered for new joiners and are quickly operational (as needed)
Assist in the preparation of all correspondence, presentations and reports as needed by the CCO
Collaborate with CFCC colleagues to ensure efficient management of the department and liaise with other departments as needed (e.g. IT, Mailroom, Accounts/Finance, HR)
Provide timely and comprehensive administrative support to the CFCC Americas Team with requests (supplies, equipment, facilities, etc.)
Maintain ‘Out of Office’ tracker highlighting areas of no coverage and workstation availability
Organize and maintain team files and contact databases in line with Group governance policies
Qualification
Required
Bachelor's degree preferred
Proven administrative experience in a fast-paced environment
Working knowledge of MS Word, Excel and PowerPoint, MS teams
Exceptional writing, editing and proofreading skills
Strong communication and interpersonal skills
Excellent organizational skills and ability to multi-task
Strong attention to detail
Demonstrated problem-solving and decision-making abilities
Ability to handle sensitive matters with discretion and confidentiality
Exceptional time management skills and demonstrated ability to meet deadlines
Proactivity and self-direction
