Estate Manager
Diamond Talent Solutions is representing multiple high-net-worth principals seeking a seasoned Estate Manager to oversee the operational and administrative functions of complex, multi-property portfolios. This role requires a leader with deep experience in managing large domestic staff teams and delivering presidential-level service across various luxury residences.
Responsibilities
Oversee day-to-day operations of multiple luxury residences across NY/NJ/CT, the Hamptons, and South Florida
Ensure all properties are maintained to the highest standards of presentation, safety, and functionality
Manage seasonal transitions, property openings/closings, renovations, and capital improvement projects
Establish and enforce SOPs, service standards, and operational protocols across all residences
Recruit, train, manage, and retain large household staff teams (housekeepers, house managers, chefs, butlers, drivers, security, groundskeepers, vendors, etc.)
Create staffing structures, schedules, coverage plans, and performance management systems
Conduct regular evaluations, coaching, and disciplinary actions when necessary
Foster a culture of excellence, discretion, accountability, and service
Deliver white-glove, presidential-level service to principals and their guests
Anticipate needs, preferences, and expectations with minimal direction
Coordinate high-profile events, private dinners, travel transitions, and extended guest stays
Serve as the primary liaison between principals and household operations
Develop and manage annual operating budgets across multiple properties
Oversee payroll, vendor contracts, service agreements, and expense controls
Track and report on financial performance, staffing costs, and capital expenditures
Negotiate with vendors to ensure best-in-class service and competitive pricing
Implement and maintain strict confidentiality and privacy protocols
Coordinate with security teams and ensure safety procedures are followed across all locations
Manage insurance documentation, compliance, and emergency preparedness plans
Qualification
Required
Minimum 10+ years of experience in Estate Management or Senior Household Operations for UHNW principals
Proven experience managing large, multi-layered staff teams across multiple properties
Demonstrated ability to deliver elite, high-touch service comparable to diplomatic, executive, or presidential environments
Exceptional organizational, leadership, and decision-making skills
Strong financial acumen with experience managing complex household budgets
Highly detail-oriented with the ability to operate calmly under pressure
Willingness to travel frequently between properties and adjust schedule based on principals' needs
Absolute discretion, professionalism, and emotional intelligence required
