Responsibilities
Review and approve requests to transfer client accounts to and from contra firms
Routinely contact contra firms via phone to obtain transfer status updates
Screen incoming and outgoing client requests to verify all required legal documentation is complete and accurate
Review and validate information contained in transfer forms and letters of authorization
Maintain detailed records and notes to ensure all client requests are completed within required regulatory timeframes
Reconcile client accounts accurately and in a timely manner
Prepare and distribute client correspondence effectively
Support management efforts to improve departmental productivity through participation in team meetings, training, and ongoing self-development
Respond to mail, phone calls, and email inquiries with a strong “Service First” mindset
Perform general clerical tasks, including faxing, copying, and filing
Assist other areas of the department during periods of high volume or limited staffing
Perform additional duties and responsibilities as assigned
Qualification
Required
2+ years of recent administrative or client services experience in a professional office environment (non-healthcare)
Prior experience in banking or financial services
Experience with document processing and document management
Strong data entry skills
Candidates must complete a data entry assessment and achieve a minimum of 6,000 KPH with 85% accuracy or higher
Assessment results must be included at the top of the resume
Basic to intermediate proficiency in Microsoft Office (Outlook, Word, Excel)
Willingness to go above and beyond to support clients
Proactive problem-solving abilities
Ability to maintain a professional demeanor at all times
Strong written and verbal communication skills
High School Diploma or GED required
